User permissions

CoCounsel administrators can manage detailed user-level permissions for skills, workflows, and features, ensuring customized access and control within the platform. Administrators can access and adjust permissions through the User Permissions screen, allowing them to tailor access to databases, Syncly, skills, workflows, and prompts for each user or in bulk.
As a CoCounsel administrator, you can manage granular user-level permissions to CoCounsel skills, workflows, and other CoCounsel features like databases and knowledge search, giving you control over capabilities within CoCounsel.

Access user permissions

CoCounsel administrators can access the
User permissions
screen by selecting
Admin settings
from the menu and selecting
User permissions
.
You can view a list of all users in your firm who have access to CoCounsel core and review their current access to CoCounsel skills, workflows, prompts, files, and features.
Initially, by default, all users with CoCounsel core access are automatically granted full access to CoCounsel databases (
view, create, & share
), all core skills, and all prompts (
view, create, & share to individuals & organization
).

Edit user permissions

Administrators can adjust user-level permissions for regular users (non-administrators) by selecting
Edit
in the
Edit
column for the user you want to edit or by using the bulk action if you want to make changes for multiple users.

Update file-related permissions

  • By default, users with CoCounsel Core access are automatically granted full access to CoCounsel databases (
    view, create, & share
    ).
  • CoCounsel administrators can adjust user-level permissions for databases by selecting the
    Edit
    button for each user or by using the bulk action.
    • No Access
      : Users can't access the databases page.
    • View only
      : Users can access databases but can only see databases shared with them.
    • View & create
      : Users can access databases shared with them and also create new databases.
    • View, create, & share
      : Users can access databases shared with them, create new databases, and additionally share databases they created with others.
  • If a firm has Syncly Integration, users will also automatically be granted full access to Syncly permissions (
    Sync & Upload
    ).
  • CoCounsel administrators can adjust user-level permissions for Syncly by selecting the
    Edit
    button for each user or by using the bulk action.
    • No Access
      : Users can't access the Syncly settings.
    • Upload & Sync via Syncly
      : Users can upload and sync via Syncly in their organization.
    • Upload via Syncly
      : Users can only upload via Syncly within their organization.

Update CoCounsel skills and workflows

  • By default, users with CoCounsel Core access are automatically granted access to all CoCounsel core skills and workflows.
  • CoCounsel administrators can adjust access to specific skills by individual user or in bulk.
  • Removing access to a skill means the user won't be able to see the skill in the list of CoCounsel skills and can't run the skill from CoCounsel AI Assistant across all platforms like CoCounsel Application, Teams, Outlook, and Word.
  • Both 1.0 and 2.0 skills will appear on the same line and are comma-separated, for example, AI Assisted Research 1.0, 2.0.

Update CoCounsel prompts

  • By default, users with CoCounsel Core access are automatically granted full access to CoCounsel prompts in manage library (view, create, and share to individuals & organization).
  • CoCounsel administrators can adjust user-level permissions for prompts by selecting the edit action for each user or by using a bulk action.
    • View & create
      : Users can view and create prompts only in manage library.
    • View, create, & share
      : Users can view, create, and share prompts to other individuals in their organization.
    • View, create, & share to individuals & organization
      : Users can view, create, and share prompts to other individuals and everyone in their organization.

Update CoCounsel features

  • By default, users with CoCounsel Core access are automatically granted full access to CoCounsel features such as Knowledge search, Web search, and Tabular Analysis.
  • CoCounsel administrators can adjust user-level permissions for these features by selecting the
    Edit
    button for each user or by using the bulk action and then turning on or off by marking the checkboxes.

Common questions

  • All core and non-core skills can be managed through the
    User Permissions
    settings.
  • The user list in the permissions page is cached and gets updated every 6 hours.
  • When access to a skill is removed, users can't access that skill from CoCounsel AI Assistant on any platform.
  • Removing Westlaw AAR access from the
    Westlaw Admin
    tool doesn't automatically remove CoCounsel access.
