Sync documents to CoCounsel

Sync documents from your document management system (DMS) to CoCounsel's Database or Matter Files to automate file updates, manage sync settings, and ensure your documents remain consistent across platforms in near real time.
Use CoCounsel to sync documents in your document management system (DMS) to its
Database
or
Matter Files
.
  • You may only sync 1 folder per database or matter.
  • Any change to your DMS folder (creations, updates, deletions, or renames) automatically updates the corresponding files in CoCounsel.
  • All compatible files, including those contained in subfolders of your selected folder, will be synced to CoCounsel.

Setting up a sync

  1. In CoCounsel, go to your database or matter files that you would like to sync documents to.
  2. Select
    Sync settings
    ,
    Set up sync
    , then select a connector.
    1. If it's your first time using a connector, you’ll need to
      Authorize
      the connector.
    2. After selecting
      Authorize
      , you'll need to sign in for the product you're connecting to CoCounsel.
    3. After signing in, close the pop-up window.
  3. Select the folder in your third-party DMS that you would like to sync to CoCounsel, then select
    Save
    .
    1. The application will upload your files in the background.
    2. Once uploaded, you'll be able to see them in your database.
    3. Any changes made to your files in your DMS will automatically update the files in CoCounsel.
    4. You can also review your sync activity and uploads by selecting
      Sync settings
      then
      Sync history
      .
    5. You can still upload additional files from your device or external DMS manually.

Pausing a sync

  1. In CoCounsel, go to your database or matter files where you set up your sync.
  2. Select
    Sync settings
    , then
    Pause sync
    .
    1. New DMS folder changes won't update CoCounsel files.
    2. You can resume the sync at any time by selecting
      Sync settings
      , then
      Resume sync
      .

Deleting a sync

  1. In CoCounsel, go to your database or matter files where you set up your sync.
  2. Select
    Sync settings
    then
    Delete sync
    and confirm.
    1. Future DMS folder changes won't update CoCounsel files.
    2. All files already synced to CoCounsel won't be deleted.
    3. If you set up a new sync on the same folder, your files may be duplicated in CoCounsel.

General information

CoCounsel syncs content from your document management system frequently
CoCounsel syncs updates from the user's document management system in near real time.
note
  • For folders that change frequently, CoCounsel syncs updates every few minutes.
  • For folders with less activity, CoCounsel checks for updates less often, up to a maximum interval of 4 hours.
Users can tell when CoCounsel last synced documents
Users can see the most recent sync time by checking the Last sync date shown on the database or matter folder page.
All Syncly users can use this new functionality
All Syncly users, including admins and standard users, can access this feature. Users can only set up a sync on databases they own unless they are CoCounsel administrators.

CoCounsel automatically applies this new functionality to your account.
CoCounsel doesn't set a limit on how many files a user can sync at the same time
There's no limit on the number of files a user can sync.
Other attorneys with access to a shared database can still see synced updates, even if they can't manage the sync
When CoCounsel syncs to a database, anyone with access to that database receives the updated documents, but they can't manage the sync.
Users can set up a sync on a database that already has files in it.
The sync doesn't change the existing files in the database. After users set up the sync, they can also upload additional files without affecting the sync.
