Use CoCounsel with SharePoint Embedded

CoCounsel for SharePoint Embedded ensures that your documents stay secure within your firm's compliance boundaries. They are never saved in Thomson Reuters storage, and all processing within CoCounsel continues smoothly.

Integration

CoCounsel uses a file API to handle files efficiently. This API works with the CoCounsel Hebe API to manage communication between CoCounsel and your SharePoint Embedded storage.
Your documents are stored in SharePoint Embedded. We utilize pre-signed URLs, letting Hebe interact with Microsoft APIs to access file contents as needed. This ensures that the files are processed to respond to your requests while remaining securely in your SharePoint Embedded Container.

Permissions

During set , Thomson Reuters needs administrator permissions to create and register the container type. This is the only permission granted to the application, CoCounsel, and it can't be removed due to Microsoft’s policies. CoCounsel doesn’t have access to view the container; this access is a user-delegated permission.
All other permissions required will be user-delegated, focusing on user needs rather than the application. Each user, database, and chat will have its own container.

Set up

There are 3 steps in setting up CoCounsel with SharePoint Embedded:
  1. Configure billing with your Azure subscription.
  2. Connect SharePoint Embedded to CoCounsel.
  3. Link user accounts.

Step 1: Configure billing with your Azure subscription

If you've already set up SharePoint Embedded, you can skip this step and proceed to step 2.
To use SharePoint Embedded for storage, you need to complete a one-time billing set . This ensures that document storage and API transactions are charged to your Azure subscription. Visit this Microsoft article for detailed instructions. You only need to do this once when starting with CoCounsel.
Billing is handled directly with your organization and not through Thomson Reuters. Any billing discounts depend on your agreements with Microsoft.

Step 2: Connect SharePoint Embedded to CoCounsel

CoCounsel will set up the necessary containers. Thomson Reuters needs administrator permissions to create these containers.
Thomson Reuters will connect to your SharePoint Embedded and set up CoCounsel using the permissions mentioned earlier. The set for SharePoint Embedded and connection to CoCounsel is typically completed within a day. All other activities are managed through user permissions.
This step is a one-time requirement when starting with CoCounsel.
  1. Go to https://login.microsoftonline.com/

    should be replaced with your customer tenant Entra ID. You can find the Entra tenant ID in the Azure portal by selecting Microsoft Entra ID and viewing the tenant ID in the Overview section.
  2. Select

    on the
    Permissions requested
    screen.
  3. To verify that the app permissions were granted correctly, go to Microsoft Azure.
  4. Select Microsoft Entra ID and choose
    Manage
    , then
    Enterprise applications
    .
  5. In the
    Enterprise applications
    screen, search for CoCounsel and select
    CoCounsel SharePoint Embedded
    .
  6. If the application is displayed, the Entra app registration in your tenant was successful. To view app permissions, select the
    CoCounsel SharePoint Embedded
    entry, then go to
    Security
    Permissions
    .
Your organization needs to provide Thomson Reuters with the base URL for your SharePoint instance. This lets the team access the necessary APIs for registering the container type in your tenant. The base URL should be publicly accessible.
Thomson Reuters will connect to the SharePoint instance and confirm the connection. If needed, your SharePoint Admin can run the following command to confirm container registration: Get-SPOContainerType -ContainerTypeld 6db1b646-a936-4a9e-9018-9418d78a8338.

Step 3: Link user accounts

The 1st time users ingest content, they need to connect their Microsoft account to CoCounsel. This connection lets CoCounsel create SharePoint Embedded containers and manage content based on the user's permissions.
Users will be prompted to refresh this connection if there is 90 days of inactivity, ensuring the connection and permissions stay current. If users have accessed CoCounsel within the last 90 days, refreshing is not required.
After completing steps 2 and 3, users can begin using CoCounsel to apply skills to their content.

Upload files to SharePoint Embedded

Once set up, whichever way files are ingested into CoCounsel, they’ll get stored within SharePoint Embedded. The files themselves are never stored or processed themselves within CoCounsel.
