Move an engagement between firm environments

Move an engagement's content from 1 firm environment to another when firms merge or consolidate. Complete this process separately for each engagement you move.
You'll need the following:
  • Access to both the source engagement and the destination firm's environment in Engagement Manager.
  • A local computer where you can save and extract the workpapers ZIP file.
  • Enough time to complete this process for every engagement you move.
important
There's currently no direct or automated way to migrate an engagement between firm environments. Repeat this process for each engagement you move.
This process rebuilds an engagement in your destination firm using pieces you export from the source firm:
  • The trial balance with prior-period and prior-year balances
  • The workpaper documents
  • For Guided Assurance engagements, the Guided Assurance data
You re-create some structure, such as the workpaper folder layout, by hand in the destination engagement.
  1. Export from the source engagement
  2. Open the source engagement in Engagement Manager.
  3. Select the
    Trial balance
    tab and add columns for each prior-period and prior-year balance type you want to transfer over.
    note
    Add these columns now; the historical balances won't transfer otherwise.
  4. Export the trial balance to Excel and save the file to your computer.
  5. Select the
    Workpapers
    tab, select all documents, and export them to a ZIP file.
  6. Save the ZIP file to your computer and extract it.
    You now have the individual workpaper documents ready to add to the destination engagement.
  7. Import into the destination engagement
  8. In the destination engagement, run a spreadsheet import using the Excel trial balance you exported.
    note
    This imports the balances, including the prior-period and prior-year columns you added.
  9. Add the extracted workpaper documents to the destination engagement.
  10. Create the folder structure in the destination engagement and move each document into the matching folder.
    tip
    Use the source engagement as a reference. The folder structure doesn't transfer automatically.
  11. For Guided Assurance engagements, open
    Guided Assurance properties
    and select the option to back up the Guided Assurance data.
  12. Restore that backup into the same engagement in the destination firm. This preserves Guided Assurance content that the export and import steps don't cover.
  13. For GoFileRoom files, add each file from the
    Workpapers
    tab using
    Add
    Workpaper
    GoFileRoom
    , then link the matching GoFileRoom document.
    note
    The GoFileRoom backup and restore process differs from the workpaper export in the earlier steps. Confirm the current steps with Professional Services before you begin. Plan to link each file individually.
  14. Repeat every step for each engagement you want to migrate.
