Viewing data statistics

In FileCabinet CS you can view the statistics for your data location for individual drawers, folders, or data locations. You can also view statistics by printing reports for your data location.

Viewing Drawer Statistics

  1. Highlight the desired drawer in the
    Folders
    window.
  2. Choose
    File
    Drawer Properties
    .
  3. Select the
    Stats
    button to open the
    Drawer Stats
    dialog and view drawer statistics.
  4. Select
    OK
    to close the
    Drawer Stats
    dialog.

To view information similar to the information displayed in the
Drawer Stats
dialog, print the
Drawer Contents
report.

Viewing Folder Statistics

  1. Highlight the folder in the
    Folders
    window.

When highlighting CS Professional Suite application folders, you must highlight a folder named with the date.
  1. Choose
    Edit
    Folder Properties
    .
  2. Select the
    Stats
    button to open the
    Folder Stats
    dialog and view drawer statistics.
  3. Select
    OK
    to close the
    Drawer Stats
    dialog.

  • You can view folder statistics for any CS Professional Suite application folder, any user-defined folder, the {Not yet filed} folder, the Volume folder, the NetClient CS folder and the Data Backup folder.
  • You can also right-click the folder and choose
    Folder Properties
    .

Viewing Data Location Statistics

  1. Choose
    Setup
  2. Choose the
    Data Locations
    tab and select the data location you want to view.
  3. Select the
    Stats
    burron to open the
    Data location Stats
    dialog and view the data location statistics.
  4. Select
    OK
    to close the
    Data Location Stats
    dialog.

Printing FileCabinet CS reports

FileCabinet CS provides the following reports that detail various drawer and user information.
  1. Drawer Contents report
  2. Drawer List report
  3. User Activity report
To generate one of these reports, follow these steps.
  1. Choose
    File
    Print Reports
    .
  2. Select the report you want to print by selecting the
    Drawer List
    ,
    Drawer Contents
    , or
    User Activity
    option.
  3. Choose an item from the
    Sort
    field to the right of the selected report option to organize the report according to one of the available criteria.
  4. Select the
    Continue
    button and do one of the following, depending on the report type you selected.
    • If you are printing the Drawer List or Drawer Contents report, skip to step 8.
    • If you are printing the User Activity report, continue to step 5.
  5. In the
    User/Event Selection
    dialog, enter a user ID or choose a user (or all users) from the
    User
    field.
  6. Choose an event option and enter a keyword if desired.

Enter the keyword in quotes if you want to find only exact matches.
  1. Select the
    Continue
    button.
  2. In the
    Drawer Selection
    dialog, choose the print destination (printer and/or FileCabinet CS).
  3. Mark the checkboxes for additional print options, such as printing duplex, 2-up, or with alternate line shading.
  4. Highlight the drawers you want to be included in the report and use the
    Select
    button to move them to the right pane.
    note
    • If any of the selected drawers are password protected, you will need to enter the password for the drawer to include in the report.
    • If you have assigned statuses to your drawers, you can mark or clear the status checkboxes in the
      Focus
      section to focus the Drawer list by status.
  5. Select
    Print
    to print the report, select
    Preview
    to preview the report on screen, or select
    To Cabinet
    if FileCabinet CS was the only destination you selected.

When reports are printed to FileCabinet CS, they are stored in a folder named
FileCabinet CS Reports
.
