  • Use the

To open the

  • If your email service supports Messaging Application Programming Interface (MAPI) protocol, choose
    File
    Send to
    Email Recipient
    , and select documents to send. FileCabinet CS creates an email message, attaches the file, and enters the following default text into the body of the message:
    The following files are attached to this email.
    Your firm can modify this text for all users. Individual FileCabinet CS users can also modify this text.
    The text is followed by a list of the attached documents. You can edit this text by using the
    Modify/View Email Text
    button.
  • If the system-generated PDF is password protected, FileCabinet CS also enters the following default text in the body of the message:
    To protect your privacy, the attached PDF files are password protected. You will receive your password in a separate communication.
    Your firm can modify this text for all users. Individual FileCabinet CS users can also modify this text.
    The text is followed by a list of the attached documents. You can edit this text by using the
    Modify/View Email Text
    button.
  • FileCabinet CS will not create a PDF if you are sending an image and did not mark the
    Export images as Adobe Acrobat (.PDF) files
    checkbox, or if you are sending an embedded object.
  • If your email service is web based and does not support the MAPI protocol, save the documents by selecting
    File
    Send to
    File
    , create your message using the web-based email application, and manually attach the files you created.
  • Recipients can view the files through Adobe Reader version 9.0 or higher.

Fields & buttons

Documents list
Shows all of the documents and image files that are available for the selected drawer. Highlight a document that you want to send to a file or to an email recipient and use the
Select
button to move the file to the
Selected documents
pane on the right.
Selected documents
Shows the documents you have selected to send to a file or to an email recipient. To remove a document from the list, highlight the document and use the
Remove
button to move it to the
Documents list
pane on the left.
Collapse/Expand All
When you first open the
Send to Email Recipient
dialog or the
Send to File Location
dialog, all folders are expanded in the Documents list. Use this button to collapse all folders in the documents list. When all folders are collapsed, the button name changes to
Expand All
.
Include Annotations
Mark this checkbox to include annotations in the document, and then mark the checkbox for each type of annotation you want to include in the attached PDF.
Include Page Notes
Mark this checkbox to include page notes in the PDF file. The page notes are inserted after the page on which the note was added.
Export Images as Adobe Acrobat (.PDF) Files
When this checkbox is marked, FileCabinet CS exports images in Portable Document Format (PDF). This allows the recipient of the file to view the image in Adobe Reader instead of in the application in which the image was created.
note
Non-PDF embedded objects are always exported in their native file format, not in PDF.
Combine documents into single PDF file
Mark this checkbox to have FileCabinet CS combine all selected documents into a single PDF before sending. Otherwise, each document is sent as a separate PDF file.

  • To include image-type documents in the PDF, you must also mark the
    Export images as Adobe Acrobat (.PDF) Files
    checkbox.
  • FileCabinet CS cannot combine embedded documents into a single PDF file.
Password protect system generated PDF files
Mark this checkbox to open the
PDF Password
dialog and assign a password to prevent unauthorized viewing and/or modification of system-generated PDF files.
You cannot assign a password to an embedded PDF file.
Export documents to PDF files as images
Mark this checkbox to export documents as images in the PDF file. For example, you may want to mark this checkbox when annotations, such as highlighter text, do not display in the PDF.
Include banner page
Mark this checkbox to include a banner page as the first page of system-generated PDF files that FileCabinet CS sends to email or to a file. The banner page contains links to all of the documents contained in the PDF. When you mark this checkbox, the
Modify/View Banner Page
dialog opens.
Modify/View Banner
Use this button to open the
Modify/View Banner Page
dialog, in which you can customize the banner page.
Include email signature
Mark this checkbox to include an email signature when you send items to email recipients. Select the email signature you want to include from the adjacent drop-down list.
Modify/View Signature button
Use this button to open the
Email Options
dialog, where you can add, edit, or delete signatures.
Modify/View Email Text button
Use this button to open the
Modify/View Email Text
dialog, where you can edit the default system-generated email text that is included when you send documents via email. FileCabinet CS saves the changes for future email correspondence for only the current user.
File name
This field contains the name of the document that is currently highlighted in the
Selected documents
list. Use this field to edit the document name. When the
Combine documents into single PDF file
checkbox in the
Options
section is marked, the default file name is Document.
Undo button
Undo back arrow Use this button to undo changes to the document name. This button is enabled only after you modify a document name.
Drawer ID
Mark this checkbox to append the drawer ID to the current file name.

This checkbox is not available for custom file names or for embedded document names.
Drawer Name
Mark this checkbox to append the drawer name to the current file name.

This checkbox is not available for custom file names or for embedded document names.
Folder
Mark this checkbox to append the folder to the current file name.
Creation Date
Mark this checkbox to append the creation date to the current file name.
The following fields are available only in the Send to File Location dialog.
Destination
Displays the location to which FileCabinet CS will send the file.
Modify Destination button
To change the location to which FileCabinet CS sends the PDF files, select this button, navigate to the desired location, and select
OK
.

If you're running FileCabinet CS in the Virtual Office CS or SaaS environment, you can navigate to files on your local network.
The following checkboxes and fields are available only in the
Send to Email Recipient
dialog.
Fill email message with recipient's email address
Mark this checkbox to have FileCabinet CS enter the email address listed below in the
To
field of the email.
Email address
Displays the email address that was entered in the
Drawer email
field of the
Drawer Properties
dialog.
Send a carbon copy (CC) to
Mark this checkbox to have FileCabinet CS enter the email addresses listed below in the
Cc
field of the email.

Email addresses appear below the checkbox if you have entered Cc email addresses in
Setup > User Preferences > Email Options
.
Send a blind carbon copy (BCC) to
Mark this checkbox to have FileCabinet CS enter the email addresses listed below in the
Bcc
field of the email.
