Export a journal entry to an Excel file
You need to perform these steps only once for each client.
- SelectSetup, thenJournal Entry Accounts.
- Enter a unique number from2.00to99.99in theJournal entry reference numberfield.
- To make a single journal entry for all assets, mark theCreate a single journal entry for all assetscheckbox.
- To make journal entries based on an association, choose anAssociation:
- Group (Default if enabled)
- Location
- Type
- Division
- Cost center
- Department
- Custom associations that maintain a list
- Mark theJournal entry to a Microsoft Excel filecheckbox to have Fixed Assets CS create the journal entry in Microsoft Excel format.
- Choose a treatment that Fixed Assets CS should use to create the journal entry:
- Book
- Tax
- For each asset group and list item for the association, enter the journal entry description and general ledger account number.
- Enter theOffsetaccount number.
- SelectOK.Fixed Assets CS creates a Microsoft Excel journal entry file for each period that the client processes.
- To view journal entry information that's ready to export, selectTasks, thenDisplay Journal Entry.
- To view the Excel journal entry transaction file:
- Open Windows Explorer and go to the client's data folder atC:\WinCSI\DeprData\‹client ID›.note
- C:/ is the drive on which Fixed Assets CS is installed.
- You can go toSetup,User Preferences, then theLocationstab to check the location of your depreciation data. You can also selectOtherhere to change the location in which that Fixed Assets CS creates export files for this client.
- Double-click the Excel file to open it and view the journal entry.note
- The Excel export file is namedDAAAAAMMMYY.xls.
- AAAAAis the 1st 5 characters of the client ID.
- MMMis the month of the current client's year end.
- YYis the last 2 digits of the client's current year end.
