Use this window to proforma prior-year client data, customized documents, customized data entry displays, or customized print collations into this year's UltraTax CS application and into the 1040 Client Organizer. You don’t need to add the clients to UltraTax CS because the proforma process automatically adds last year's client data or customized documents to this year's UltraTax CS, eliminating substantial data entry.

note
You can't proforma a client's data, customized documents, customized data entry displays, or print collations until we release the federal entity for the current tax year. Therefore, some checkboxes in the Focus section may not be available early in the year.

Fields & buttons

Data location
Use the dropdown list to select the data location to which you want to proforma clients, documents, data entry displays, or return collations. You can select only data locations already added by selecting
Setup
,
System Configuration
, then the
Data Locations
 tab.
Clients, Documents, Return Collations, Data Entry Displays, or Data Mining items dropdown list
From this dropdown list, select
Clients
 to proforma client data,
Documents
 to proforma customized documents (for example, elections, transmittal letters, filing instructions, and invoices),
Return Collations
 to proforma customized print collations,
Data Entry Displays
 to proforma customized data entry displays, or
Data Mining
 to proforma customized Data Mining reports, letters, or searches.
note
  • If you select
    Documents
    ,

     in this field, the
    Preparer/reviewer/staff

     button, are not available.
  • The
    Data Mining
     selection isn't available until the release of the Data Mining tool for the current tax year. Data Mining is typically released in early February each year.
Clients available to proforma
All clients who meet the criteria designated in the Focus section are listed here. Select the clients whose data you want to proforma and use the
Select
 button to move them over to the
Selected to proforma
 pane.
note
  • You can't proforma a client's data until we release the federal entity for the current tax year. Therefore, some entity types in the Focus section may not be available early in the year.
  • Clients with returns marked as final in the prior year version of UltraTax CS won’t appear in the
    Available to proforma
     pane. Also, if you marked the
    Suppress next year's proforma
     checkbox in the General folder for any clients, those clients won’t appear in the Available to proforma pane.
  • If no clients are listed here, check the data path in the Data to proforma section and verify that the drive and path of last year's tax data are correct. If not, select the Change UltraTax CS Location button, or select the correct prior-year UltraTax CS data location from the dropdown list in the Data to proforma section. If the client data to be proforma'd is on a backup disk, select the
    Backup
     option and verify the drive and path.
note
To sort the client listing by client ID, name, or entity type, select
Client ID

Lists the clients you have selected to proforma.

Tips
  • To remove one or more clients from this list, select the clients then the
    Remove
     button. The clients return to the
    Available to proforma
     pane.
  • To sort the client listing by client ID, name, or entity type, select

Documents available to proforma
All customized documents for the entity types designated in the Focus section are listed here. Select the documents you want to proforma, then

  • You can't proforma documents until we release the federal entity for the current tax year. Therefore, some entity types in the Focus section may not be available early in the year.
  • If no documents are listed here, check the path in the Data to proforma section and verify that the drive and path of last year's documents are correct. If not, select
    Change UltraTax CS Location
    , or the correct prior-year UltraTax CS data location from the dropdown list in the Data to proforma section.
Documents selected to proforma
Lists the customized documents you have selected to proforma.
note
To remove one or more documents from this list, select the documents then
Remove
. The documents return to the
Available to proforma
 pane.
Return collations available to proforma
All customized print collations for the entity types designated in the Focus section are listed here. Select the return collations you want to proforma then
Select
 to move them over to the
Selected to proforma
 pane.
note
  • UltraTax CS determines the print collations available to proforma based on the UltraTax CS applications in use in both the previous and current years. Any return collations that you customized in the prior-year version of UltraTax CS will be available here, assuming you are using the same entities this year.
  • You can't proforma return collations until we release the federal entity for the current tax year. Therefore, some entity types in the Focus section may not be available early in the year.
  • If no return collations are listed here, check the path in the
    Data to proforma
     section and verify that the drive and path to last year's collation information are correct. If not, select the Change UltraTax CS Location button, or select the correct prior-year UltraTax CS data location from the dropdown list in the Data to proforma section.
Return collations selected to proforma
Lists the customized print collations you have selected to proforma.
note
To remove one or more return collations from this list, select the collations then
Remove
. The collations return to the Available to proforma pane on the left.
Data entry displays available to proforma
All customized data entry displays for the entity types designated in the Focus section are listed here. Select the data entry displays you want to proforma, then
Select
 to move them over to the
Selected to proforma
 pane.
note
  • You can't proforma data entry displays until we release the federal entity for the current tax year. Therefore, some entity types in the Focus section may not be available early in the year.
  • If no data entry displays are listed here, check the path in the Data to proforma section and verify that the drive and path to last year's data entry displays are correct. If not, select the Change UltraTax CS Location button, or select the correct prior-year UltraTax CS data location from the dropdown list in the Data to proforma section.
Data entry displays selected to proforma
Lists the customized data entry displays you have selected to proforma.
note
To remove one or more data entry displays from this list, select the data entry displays then
Remove
. The data entry displays return to the
Available to proforma
 pane.
Data Mining items available to proforma
Lists the Data Mining reports, letters, or customized searches that are available to proforma.
note
These selections are not available until the release of the Data Mining tool for the current tax year. Data Mining is typically released in early February each year.

Focus section

Entity types
Mark one or more of the entity type checkboxes to include the corresponding clients in the client list.
Example
: To include only 1040 clients in the list, clear all checkboxes except the
1040
 checkbox.
note
Mark the
Other
 checkbox to include 990, 5500, 706, and 709 clients in the list.
Restore user/default focus options button
Select this button to switch between the most recent custom focus selection and the default selection.
note
This field is available only if
Clients
 is selected in the
Clients, Documents, Data Entry Displays, or Return Collations
 dropdown list at the top of this window.
Preparer/reviewer/staff
Select a preparer, reviewer, or staff member from the dropdown list to limit the list to clients with returns assigned to a specific person.

This field is available only if
Clients
 is selected in the
Clients, Documents, Data Entry Displays, or Return Collations
 dropdown list at the top of this window.
Fiscal year end
Select a month from the dropdown list to limit the selection list to clients whose fiscal year ends on a specific month.

This field is available only if

Prior year events
Choose
Return Printed
,
ELF file transmitted to CS
, or any user-defined event to restrict the list of clients to only those who had the selected event logged in the prior-year version of UltraTax CS.
note
This field is available only if you select
Clients
 in the
Clients, Documents, Data Entry Displays, or Return Collations
 dropdown list.
Exclude proforma'd clients
By default, UltraTax CS excludes from the client listing clients whose data has already been proforma'd. Clear this checkbox to
include
 already proforma'd clients in the client listing.
note
This field is available only if
Clients
 is selected in the
Clients, Documents, Data Entry Displays, or Return Collations
 dropdown list at the top of this window.
Exclude 706 clients
706 clients are automatically excluded from the list. To include them, clear the
Exclude 706 clients
 checkbox. This checkbox is available only when you are licensed for 706 returns and UltraTax/706 is installed.

Data to proforma section

2022
 data from: UltraTax CS
Select this option to proforma data, customized documents, customized data entry displays, or customized print collations from last year's UltraTax CS application.
note
  • When you select this option and
    Documents
     is selected in the
    Clients, Documents, Data Entry Displays, or Return Collations
     dropdown list, UltraTax CS displays the drive and path on which it will look for last year's data. If necessary, select the Change UltraTax CS Location button to modify the drive and path, or select the correct prior-year UltraTax CS data location from the dropdown list in the Data to proforma section.
  • When you select this option and
    Clients
     is selected in the
    Clients, Documents, Data Entry Displays, or Return Collations
     dropdown list, UltraTax CS displays the drive and path on which it will look for the client data. If necessary, select the Change UltraTax CS Location button to modify the drive and path, or select the correct prior-year UltraTax CS data location from the dropdown list in the Data to proforma section.
  • To proforma last year's client data from an external storage device or a backup location on the hard drive, select the
    Backup
     option instead.

Select this option to proforma client data from an external storage device or backup location on the hard drive.
note
  • When you select this option, UltraTax CS displays the drive and path on which it will look for the client data. If necessary, select the Change UltraTax CS Location button to modify the drive and path, or select the correct prior-year UltraTax CS data location from the dropdown list in the Data to proforma section.
  • To proforma last year's client data from UltraTax CS, select the
    UltraTax CS
     option instead.
UltraTax CS / Backup data location
  • If you selected the
    UltraTax CS
     option and
    Documents
     is selected in the
    Clients, Documents, Data Entry Displays, or Return Collations
     dropdown list at the top of this window, UltraTax CS lists the drive and path of last year's UltraTax CS
    data path
     here. If the drive and path are not correct, select the Change UltraTax CS Location button and specify the correct location, or select the correct prior-year UltraTax CS data location from the dropdown list in the Data to proforma section.
  • If you selected the
    UltraTax CS
     option and
    Clients
     is selected in the
    Clients, Documents, Data Entry Displays, or Return Collations
     dropdown list at the top of this window, UltraTax CS lists the drive and path of last year's UltraTax CS
    data
     here. If the drive and path are not correct, select the Change UltraTax CS Location button and specify the correct location, or select the correct prior-year UltraTax CS data location from the dropdown list in the Data to proforma section.
  • If you selected the
    Backup
     option, UltraTax CS lists the drive and path of the backup data here. If the drive and path are not correct, select the Change Backup Location button and specify the correct location.
Change UltraTax CS / Backup Location button
  • If
    Clients
     is selected in the dropdown list at the top of this window, select this button to open a window in which you can specify the location of last year's UltraTax CS data or the backup data.
  • If
    Documents
     is selected in the dropdown list at the top of this window, select this button to open a window in which you can specify the location of last year's UltraTax CS application.
Re-proforma all returns except certain PPT returns
Mark this checkbox to proforma all returns except personal property tax (PPT) returns attached to the selected clients. Any return that was already proforma'd, such as the federal or state return, will be deleted and re-proforma'd. This applies to PPT returns for California, District of Columbia, Florida, Georgia, Indiana, Kentucky, Maryland, Michigan, Nebraska, Puerto Rico, South Carolina, Texas, Virginia, and Wisconsin.
Refresh button
Select this button to have UltraTax CS rebuild the client listing after you change the external storage device from which you are conducting the proforma process.
Example:
 If you know a particular client's backup data is on one of 3 storage devices but the client information is not on the 1st device, replace the 1st device with the 2nd one and select this button. UltraTax CS will check the 2nd device for client information to proforma and rebuild the client list accordingly.
note
This button appears only if you selected the
Backup
 option in this window.
Open client after proforma
By default, UltraTax CS will open a client's tax return after you proforma that client's data from the prior-year application. To prevent UltraTax CS from doing so, clear this checkbox. Because UltraTax CS only does so when you proforma a single client (rather than a batch of clients), this checkbox is only available when 1 client is selected to proforma.
Sync client to ultratax.com on proforma
By default, UltraTax CS will sync client data to ultratax.com when you proforma a return. To prevent UltraTax CS from doing so, clear this checkbox.
note
You can manually sync client data by going to Sync Clients to ultratax.com within the Utilities menu or it will automatically sync when a client is closed.
Report button
Select this button to open the Proforma Report window, which you can use to print or export the Client Proforma Listing report.
