Scenario

You may see the following error message when you attempt to bulk import or update FirmFlow folders or workflows..
Error message
There was an error processing folders. Check your email for error details.
You'll receive an email message with either of the following error messages.
  • Upload failed. Please check the file and try again. \\gofileroom\data1\gf3\GFRTMPDATA\WebTemp\XXX\ImportFolders-mm-dd-yy-nn-nnnnnnnnn.xls Unable to open file. XLS file is not in expected format.
  • Upload failed. Please check the file and try again. \\gofileroom\data1\gf3\GFRTMPDATA\WebTemp\XXX\ImportFolders-mm-dd-yy-nn-nnnnnnnnn.xlsx Invalid number of columns provided for import.

Solutions

XLS file is not in expected format
Try the following solutions to resolve this error.
  • If the file name extension for the spreadsheet uses all capital letters (.XLS or .XLSX), rename the spreadsheet so that the extension uses lower case letters (.xls or .xlsx), then try to import the data again.
  • If the spreadsheet file name is fairly long, rename the spreadsheet to shorten it, and then try to import the data again.
  • If the spreadsheet file name contains any special characters, such as
    ! @ # $ % ^ & * ( )
    or
    -
    , rename the file to remove those characters, then try to import the data again.
  • If the file name extension for the spreadsheet is
    .xlsx
    , open the file in Microsoft Excel, select
    File
    , then
    Save As
    and save the file using an
    .xls
    extension.
  • Copy the data from the spreadsheet and follow these steps to paste it into a new spreadsheet.
    1. In the new spreadsheet in Excel, right-click in the field where you want to place the data.
    2. Select
      Paste Special
      , then
      Paste Special
      again to open the Paste Special window.
    3. Select
      Values
      in the Paste section, then
      OK
      .
    4. Save the new spreadsheet, then try to upload the data again.
If this error continues to occur after you've tried these suggested solutions, complete steps 1-3 of the GoFileRoom Setup Checklist, restart your computer, then try the import again.
Invalid number of columns provided for import
Our processing engine has found that the number of columns in the bulk import or update spreadsheet does not match the number of columns GoFileRoom expected for a successful import. There are several reasons this could happen, even though it appears that the spreadsheet meets the column requirements.
  1. Follow these steps to make sure that you're using the correct number of columns by generating a bulk import template.
    1. Sign in to GoFileRoom using Administrator login credentials.
    2. Select
      Administration
      ,
      Manage FirmFlow
      , then
      Folder Administration
      .
    3. In the
      Process
      field, select
      Bulk Import
      .
    4. Select the applicable options in the
      Service Type
      and
      Workflows
      fields.
    5. Select
      Export
      .
  2. Compare the column headers in the spreadsheet with the headings in the bulk import template.
If you generate the spreadsheet from a FirmFlow report and it doesn't contain the appropriate number of columns, follow these steps to reset your FirmFlow report preferences.
  1. In GoFileRoom, select
    Reports
    , then
    FirmFlow Reports
    .
  2. Generate the FirmFlow report.
  3. In the report results screen, select
    Options
    , then
    Set Preferences
    .
  4. In the window that opens, select
    Reset
    , then
    OK
    .
  5. After the report reloads, select
    Options
    ,then
    Export Report
    .
  6. When prompted, save the report.
  7. Open the spreadsheet and adjust the data as needed, then try to import the data again.
If you continue to receive errors, copy the contents of the spreadsheet and paste it into a new spreadsheet and try again.
