Import FirmFlow folders

GoFileRoom Administrators can use the Bulk Import feature to create multiple FirmFlow folders at one time, saving time and ensuring a higher level of accuracy.

  • You can import approximately 30,000 FirmFlow folders in a single batch. System limitations depend on file size, number of characters, and spreadsheet complexity.
  • We support partial uploads for large uploads and other use cases. The single batch limit may vary based on the number of folders and workflow custom fields configured by your firm. If you reach a limit, you may need to split the import process into multiple batches.
  • You can leverage GoFileRoom’s API library to perform the import process or build automations within your firm. For additional information, visit developers.thomsonreuters.com.
Review the guidelines and follow these steps to import FirmFlow folders in bulk.
  1. Create a bulk import spreadsheet for each type of workflow defined for your GoFileRoom FirmFlow implementation.
  2. In GoFileRoom, select
    Administration
    , then
    Manage FirmFlow
    .
  3. Select a drawer from the
    Drawer
    dropdown, then select the
    Folder Administration
    tab.
  4. Select
    Bulk Import
    from the
    Process
    dropdown.
  5. Select a service type, workflow, and group or user from the
    Assigned to
    dropdown.
  6. Select
  7. Select
    Browse
    and go to the import spreadsheet you created in Step 1.
  8. Select the file, then
    Open
    .
  9. Select
    Save
    to complete the import.
  • After you complete the import, you'll receive a status email that will either:
    • Validate a successful import, or
    • Provide a detailed list of action items, failed records, and errors in the attached spreadsheet.
  • We'll queue successful imports for processing within 2 hours. This allows you to address any failed records and re-import them if necessary.
  • We'll complete all folder validations within 30 minutes.
  • With the Bulk Import option for partial uploads, we'll import the valid records within 2 hours. This lets you access the FirmFlow folders and Workflows on the same day.
  • The processing time for bulk imports can vary. It depends on the file size and the number of requests from all firms in the queue.
