FirmFlow Update Utility

The FirmFlow Update Utility lets your firm’s practice management program interact with the application for update of Client IDs, names, and folder information. This will let your firm keep these fields in sync automatically behind the scenes on an ongoing basis.
Check some of the important details to understand regarding how this utility works:
  • For this service, your firm must already be using the
    Lookup List Sync utility
    . The Lookup List can be configured with folder level information fields that are assigned to your workflows and will populate those values from your practice management system.
  • Your firm must understand how the fields in your practice management system correspond to the information fields created within [[product-name]].
  • The Person In Charge (PIC) on the workflow can also be updated as long as that person is a valid member of the security group assigned to the service type for the PIC field.
  • After the utility is configured, your firm only needs to maintain the proper entry of the information into your project management system. Be aware, if you remove, change or rearrange fields in your Lookup List screen of [[product-name]] the integration will no longer work properly.
  • If your firm needs to make updates that will impact how the service runs, be sure to contact Technical Services before implementing the changes.
The following steps are the phases you will go through as part of the configuring the utility.
  1. Schedule your date for utility setup and configuration your firm has submitted the signed agreement, Technical Services will contact you to verify the scope of the project and the date that the reindex needs to occur. The typical turnaround time is two to three weeks from the time we receive your cross-reference list.
  2. Utility is configured and tested for accuracy Services will design a script to incorporate the field level changes for folders, workflows, client ID or name.
  3. Utility is deployed for use by your firm service is normally completed within three to four weeks dependent on the setup within the FirmFlow Update Utility.

Lookup List Sync and File Importer Customizations

Technical Services can provide custom modifications to the standard
Lookup List Sync Utility

File Importer services
.
The Lookup List Sync can be setup by your firm to establish a connection between your firm’s practice management system (such as Practice CS) to the application. The default utility allows syncing of the Client name and client ID between the two systems. Technical Services can assist if you would like additional information fields to be shared into the workflows used as part of FirmFlow.
The File Importer for the application allows PDF files stored in a specific folder to be uploaded and correctly indexed within the application automatically. The integration relies on these files being created electronically from your firm’s tax software with the default naming structure.
In addition to this primary functionality, Technical Services can provide modifications to allow upload of additional types of files that are compatible with the application and contain information within the file name which will allow it to be automatically indexed within the application. However, it is important to note that the File Importer doesn’t change file names or combine documents. The files are sent as created.

  1. Schedule your date for utility modification your firm has submitted the signed agreement, Technical Services will contact you to verify the scope of the project and the date that the utility modifications will be made.
  2. Utility is configured and tested for accuracy Services will design a script to incorporate the modifications defined for the appropriate utility and test.
  3. Utility is deployed for use by your firm typical turnaround time for these modification services is two weeks or more depending on the number of modifications.
