Create a webinar

A webinar or webcast is a live-streamed instructor-lead course that you can view in real time or as a rebroadcast later.

Create a webinar course

  1. Sign in as an Administrator and select the gear to open the Admin menu.
  2. Select
    Course Management
    , then select the green plus (+) .
  3. Select
    New Course
    and enter the following information:
    • Course Type: Choose
      ILT (Classroom
      or
      Webinar)
      for the course type. You won't be able to change the course type after the course is created.
    • Course code: This is optional but highly recommended. This will help you when you're searching for courses and generating reports. We recommend that you use your firm's initials followed by a unique numeric code.
    • Course Title: Enter a unique course title that is simple and easy to understand.
    • Description: Enter a description that will help users understand what they'll learn in this course.
  4. Select
    CREATE AND EDIT
    to create your Webinar course.

Add course session

Now that you've created your Webinar course, you'll want to add at least 1 session. The 1st session is intended to be your initial live broadcast. If you want to rebroadcast the initial, recorded webinar, you'll want to add additional sessions.
  1. If you just created your course and are still in the course window, select
    SESSIONS
    .
  2. Select the green plus (+) .
  3. Select
    New Session
    and enter the following information.
    1. Enter the session name in the
      Name
      field.
    2. Enter the number of
      Maximum enrollments
      that you want to attend your session.
    3. Enter the instructors that will be instructing every session. Don't add instructors if they aren't teaching all sessions. You'll add those instructors at the event level.
    4. Choose
      Manual
      in the
      Session Evaluation/Completion
      section.
  4. Select
    CREATE AND EDIT
    to create your session.
  5. Go to
    PROPERTIES
    and enter the following information.
    1. Use the
      General
      section to add things like
      Code
      ,
      Description
      , and
      Minimum Enrollments
      .
    2. Use the
      Details
      section to review and add session instructors and, if needed, set a
      Self Enrollment Deadline
      .
    3. Use the
      Additional Fields
      section to turn on
      Participation Tracking
      . Select
      Yes
      to require learners to respond to attendance checks during the webinar. If they respond to a required number, they'll automatically be marked as complete for the webinar. You can also turn on
      Newrow - Break Functionality
      to automatically create breaks based on the webinar duration. You can control these breaks in the webinar room.You don't need to make a selection for
      Custom Webinar Solution
      .

Add events

Once you've created your session, you'll want to add at least 1 event. Events contain date, time, event type (venue or video conference tool) and connection to the webinar room.
  1. Select
    EVENTS & ATTENDANCE
    .
  2. Select the green plus (+) and choose
    New Event
    .
  3. Enter the following:
    1. An event
      Name
      .
    2. Choose a
      Date
      .
    3. If you'd like, enter an event
      Description
      .
    4. Enter a
      Start Time
      .
    5. Enter the
      End Time
      . Don't enter
      Break Start Time
      or
      Break End Time
      here.
    6. Choose the
      Time Zone
      .
    7. For the
      Event Type
      , choose
      Venue
      if it is a classroom event or
      Video Conference Tool
      for webinars.
    8. If you selected
      Video Conference Tool
      , select the type of tool:
      1. Video Conference Tool: xAPI tool.
      2. oAuth Client: Optimus Accreditation.
      3. xAPI URL: https://accreditationlaunch-app.opt.thomsonreuters.com/api/v1/oauth2/tincan/webcast?productId=CPL
    9. Attendance Options or Collaboration Tool are optional.
  4. Select
    CONFIRM
    to create your event.
  5. Go to
    EVENT & ATTENDANCE
    and select the event you just created.
  6. In the event's
    PROPERTIES
    tab:
    1. Use
      General
      section to make modifications to what you set up in the steps earlier, and also set
      Join Options
      . You can choose
      Display the join button before the event starts
      for both learners and instructors, but note that the learners can't join before the instructor.Enter the time in HH:MM format and select
      Save Changes
      once complete.
    2. Use the Details section to review the instructors assigned to the session or event, and add or remove instructors for this event only. Instructors that teach every event are added and removed at the session level, so you can only view those instructors here.
  7. Select
    SAVE CHANGES
    .

Add course settings

Once you've created a course, you'll want to add course settings. These settings will apply to all sessions you create for this course.
To add course settings:
  1. Use the breadcrumbs to go back to the course, or find your course in the
    Course Management
    list from the Admin menu.
  2. Select
    PROPERTIES
    .
  3. There are 2 main sections:
    General Settings
    and
    Advance Settings
    . Each section contains various options. Select through each tab on the left to choose specific settings for your course, as necessary.
General Settings is where you can make changes to the course's title, code, description, etc. You can also create
Time Options
and choose
Navigation
settings, as well as add a
Certificate Template
.
These sections are optional, however you'll need to review
Course Additional Fields
and
Enrollment Options
.
In the
ILT Type
field, choose Webinar.
If your course has accreditation, complete all necessary fields and the following in
Accreditation Info
:
  1. In the
    Course Delivery Formats
    field, select
    Group Internet based (Webinar)
    .
  2. Select the sponsor from the
    Program Provider (Sponsor)
    field. What you choose here determines the certificate type issued for completion.
  3. Select
    Next
    .
  4. Select all regulators that apply in the
    Jurisdictions
    section and select
    Next
    .
  5. For each applicable field of study, enter the total minutes or credits and select
    Next
    .
  6. Answer the 4 questions as required and select
    Next
    .
  7. Review and edit your accreditation info as needed and select
    Update
    to save,
    Reset
    to start over, or
    Edit accreditation
    to change the credits only.
In the
Webcast Mapping
section, complete the following to set up the webcast room:
  1. Select the
    Webcast Tool
    from the dropdown menu.
  2. Select
    Meeting Experience
    for a small interactive group under 500 participants, or select
    Large Event
    for a large live broadcast that will exceed 500 participants.
  3. Choose the
    Branch
    .
  4. Select
    Confirm to Launch
    . This button will change to a
    Launch
    button which will let you launch and enter the webcast room at any time.
  5. When you're ready to configure your course, select
    Launch
    to launch the webcast tool
    .
In the self-unenrollment section, we recommend
Allow self-unenrollment from the course
so you can unenroll from the course on their own. However we don't recommend choosing
Allow self-unenrollment from the course even if the learner has completed it
as this would delete completion records.
In the
Course Enrollment Link
section, check the checkbox to enable enrollment links for the course. You can copy and paste the link to send to potential learners.
Choose any or all other options as you see fit.
It's not necessary to make changes to the
Equivalences
,
E-Commerce
,
Content Partner
,
Score & Credits
,
Rating & Sharing
and
Certification & Retraining
sections, but you'll need to review
Catalog Options
to make sure your learners can enroll in your course.
  • In the
    Course Visibility in Catalogs
    section, select
    Show the course in internal catalogs only
    or
    Show the course only to enrolled learners
    .
  • Choose an option in the
    Course Self-Enrollment
    section.
  • Choose an option for the
    Catalog Enrollment Policy
    .
  • We recommend not selecting the
    Maximum Enrollment Quota
    checkbox. The Maximum Enrollments will be set at the session level, not at the course.
  • Choose a
    Waiting List
    option.

Add training materials

You can add training materials such as tests, surveys, presentations, and videos to a Webinar course. To add training material, find your course in the Course Management list, select the course name, and select
Training Material
at the top.

Publish the course

You can publish a course at any time after you create it. This makes the course active and, if you'd like, enroll learners into the course. The course won't be available for self-enrollment until you place it in a catalog.
  1. Go to to the Properties tab of the course.
  2. On the lower-right-hand corner you will see Status. The default after you first create it is set to
    Under Maintenance
    .
  3. Select on it and switch the status to
    Published
    .
  4. Select
    SAVE CHANGES
    .

Assign course to Catalogs and Learning Plans

You'll want to include your Webinar in a Catalog and/or a Learning Plan if you want users to find and enroll in this course by themselves. If you don't add courses to Catalogs or Learning Plans, only the users that you, as an Administrator, enroll into the course will be able to access it.
  1. Go to the
    CATALOGS
    tab within the course.
  2. Select add .
  3. Choose
    Assign to Catalogs
    or
    Assign to Learning Plans
    1. Assign to Catalogs: select the applicable catalog, then select
      CONFIRM
      .
    2. Assign to Learning Plans: select the applicate learning plan, then select
      CONFIRM
      .

Enroll users in sessions

Once you've created a course and session(s), an Administrator can enroll users into sessions from the Courses section of the Admin menu .
  1. Go to the
    SESSIONS
    tab within the course.
  2. In the
    ENROLLED USERS
    column select Enrollments .
  3. Select add.
  4. Choose Enroll users.
  5. Here you can choose from a list of
    USERS
    ,
    BRANCHES
    or
    GROUPS
    .
  6. Make your selection, then select
    NEXT.
  7. Choose whether to enroll users into the course or into the session.
    • I want to enroll users to the course
      : the course will appear on the user's waitlist until they choose a session.
    • I want to enroll users to a session
      : available sessions will appear in a list below once you select this.
  8. Select
    NEXT
    .
  9. Choose either Learner or Tutor for the
    Level
    and then select
    NEXT
    .
  10. Select
    CONFIRM
    to complete the registration.
