Create a webinar
A webinar or webcast is a live-streamed instructor-lead course that you can view in real time or as a rebroadcast later.
Create a webinar course
- Sign in as an Administrator and select the gear
to open the Admin menu. - SelectCourse Management, then select the green plus (+)
. - SelectNew Courseand enter the following information:
- Course Type: ChooseILT (ClassroomorWebinar)for the course type. You won't be able to change the course type after the course is created.
- Course code: This is optional but highly recommended. This will help you when you're searching for courses and generating reports. We recommend that you use your firm's initials followed by a unique numeric code.
- Course Title: Enter a unique course title that is simple and easy to understand.
- Description: Enter a description that will help users understand what they'll learn in this course.
- SelectCREATE AND EDITto create your Webinar course.
Add course session
Now that you've created your Webinar course, you'll want to add at least 1 session. The 1st session is intended to be your initial live broadcast. If you want to rebroadcast the initial, recorded webinar, you'll want to add additional sessions.
- If you just created your course and are still in the course window, selectSESSIONS.
- Select the green plus (+)
. - SelectNew Sessionand enter the following information.
- Enter the session name in theNamefield.
- Enter the number ofMaximum enrollmentsthat you want to attend your session.
- Enter the instructors that will be instructing every session. Don't add instructors if they aren't teaching all sessions. You'll add those instructors at the event level.
- ChooseManualin theSession Evaluation/Completionsection.
- SelectCREATE AND EDITto create your session.
- Go toPROPERTIESand enter the following information.
- Use theGeneralsection to add things likeCode,Description, andMinimum Enrollments.
- Use theDetailssection to review and add session instructors and, if needed, set aSelf Enrollment Deadline.
- Use theAdditional Fieldssection to turn onParticipation Tracking. SelectYesto require learners to respond to attendance checks during the webinar. If they respond to a required number, they'll automatically be marked as complete for the webinar. You can also turn onNewrow - Break Functionalityto automatically create breaks based on the webinar duration. You can control these breaks in the webinar room.You don't need to make a selection forCustom Webinar Solution.
Add events
Once you've created your session, you'll want to add at least 1 event. Events contain date, time, event type (venue or video conference tool) and connection to the webinar room.
- SelectEVENTS & ATTENDANCE.
- Select the green plus (+)
and choose New Event. - Enter the following:
- An eventName.
- Choose aDate.
- If you'd like, enter an eventDescription.
- Enter aStart Time.
- Enter theEnd Time. Don't enterBreak Start TimeorBreak End Timehere.
- Choose theTime Zone.
- For theEvent Type, chooseVenueif it is a classroom event orVideo Conference Toolfor webinars.
- If you selectedVideo Conference Tool, select the type of tool:
- Video Conference Tool: xAPI tool.
- oAuth Client: Optimus Accreditation.
- xAPI URL: https://accreditationlaunch-app.opt.thomsonreuters.com/api/v1/oauth2/tincan/webcast?productId=CPL
- Attendance Options or Collaboration Tool are optional.
- SelectCONFIRMto create your event.
- Go toEVENT & ATTENDANCEand select the event you just created.
- In the event'sPROPERTIEStab:
- UseGeneralsection to make modifications to what you set up in the steps earlier, and also setJoin Options. You can chooseDisplay the join button before the event startsfor both learners and instructors, but note that the learners can't join before the instructor.Enter the time in HH:MM format and selectSave Changesonce complete.
- Use the Details section to review the instructors assigned to the session or event, and add or remove instructors for this event only. Instructors that teach every event are added and removed at the session level, so you can only view those instructors here.
- SelectSAVE CHANGES.
Add course settings
Once you've created a course, you'll want to add course settings. These settings will apply to all sessions you create for this course.
To add course settings:
- Use the breadcrumbs to go back to the course, or find your course in theCourse Managementlist from the Admin menu.
- SelectPROPERTIES.
- There are 2 main sections:General SettingsandAdvance Settings. Each section contains various options. Select through each tab on the left to choose specific settings for your course, as necessary.
General Settings is where you can make changes to the course's title, code, description, etc. You can also create
Time Options
and choose Navigation
settings, as well as add a Certificate Template
.These sections are optional, however you'll need to review
Course Additional Fields
and Enrollment Options
.In the
ILT Type
field, choose Webinar.If your course has accreditation, complete all necessary fields and the following in
Accreditation Info
:- In theCourse Delivery Formatsfield, selectGroup Internet based (Webinar).
- Select the sponsor from theProgram Provider (Sponsor)field. What you choose here determines the certificate type issued for completion.
- SelectNext.
- Select all regulators that apply in theJurisdictionssection and selectNext.
- For each applicable field of study, enter the total minutes or credits and selectNext.
- Answer the 4 questions as required and selectNext.
- Review and edit your accreditation info as needed and selectUpdateto save,Resetto start over, orEdit accreditationto change the credits only.
In the
Webcast Mapping
section, complete the following to set up the webcast room:- Select theWebcast Toolfrom the dropdown menu.
- SelectMeeting Experiencefor a small interactive group under 500 participants, or selectLarge Eventfor a large live broadcast that will exceed 500 participants.
- Choose theBranch.
- SelectConfirm to Launch. This button will change to aLaunchbutton which will let you launch and enter the webcast room at any time.
- When you're ready to configure your course, selectLaunchto launch the webcast tool.
In the self-unenrollment section, we recommend
Allow self-unenrollment from the course
so you can unenroll from the course on their own. However we don't recommend choosing Allow self-unenrollment from the course even if the learner has completed it
as this would delete completion records.In the
Course Enrollment Link
section, check the checkbox to enable enrollment links for the course. You can copy and paste the link to send to potential learners.Choose any or all other options as you see fit.
It's not necessary to make changes to the
Equivalences
, E-Commerce
, Content Partner
, Score & Credits
, Rating & Sharing
and Certification & Retraining
sections, but you'll need to review Catalog Options
to make sure your learners can enroll in your course.- In theCourse Visibility in Catalogssection, selectShow the course in internal catalogs onlyorShow the course only to enrolled learners.
- Choose an option in theCourse Self-Enrollmentsection.
- Choose an option for theCatalog Enrollment Policy.
- We recommend not selecting theMaximum Enrollment Quotacheckbox. The Maximum Enrollments will be set at the session level, not at the course.
- Choose aWaiting Listoption.
Add training materials
You can add training materials such as tests, surveys, presentations, and videos to a Webinar course. To add training material, find your course in the Course Management list, select the course name, and select
Training Material
at the top.Publish the course
You can publish a course at any time after you create it. This makes the course active and, if you'd like, enroll learners into the course. The course won't be available for self-enrollment until you place it in a catalog.
- Go to to the Properties tab of the course.
- On the lower-right-hand corner you will see Status. The default after you first create it is set toUnder Maintenance.
- Select on it and switch the status toPublished.
- SelectSAVE CHANGES.
Assign course to Catalogs and Learning Plans
You'll want to include your Webinar in a Catalog and/or a Learning Plan if you want users to find and enroll in this course by themselves. If you don't add courses to Catalogs or Learning Plans, only the users that you, as an Administrator, enroll into the course will be able to access it.
- Go to theCATALOGStab within the course.
- Select add
. - ChooseAssign to CatalogsorAssign to Learning Plans
- Assign to Catalogs: select the applicable catalog, then selectCONFIRM.
- Assign to Learning Plans: select the applicate learning plan, then selectCONFIRM.
Enroll users in sessions
Once you've created a course and session(s), an Administrator can enroll users into sessions from the Courses section of the Admin menu

.- Go to theSESSIONStab within the course.
- In theENROLLED USERScolumn select Enrollments
. - Select add
. - Choose Enroll users.
- Here you can choose from a list ofUSERS,BRANCHESorGROUPS.
- Make your selection, then selectNEXT.
- Choose whether to enroll users into the course or into the session.
- I want to enroll users to the course: the course will appear on the user's waitlist until they choose a session.
- I want to enroll users to a session: available sessions will appear in a list below once you select this.
- SelectNEXT.
- Choose either Learner or Tutor for theLeveland then selectNEXT.
- SelectCONFIRMto complete the registration.
