Assign Budget Approval routes to Matters

There are 4 ways to assign an already created Budget Approval route:
  • Add conditional fields at Matter type-template
  • Matter creation
  • Edit options on Matter profile
  • Bulk update

Conditional fields at Matter type-levels

  1. On the
    Matters Setup
    Matter Type templates & Matter Setup
     page, you can select the specific Matter-type template.
  2. Mark the
    Apply Conditional Fields
     checkbox to show the
    Conditional Fields
     section. It can be found by scrolling down within the page.
  3. Select the
    Add field
     button to can add a
    If-then
     condition.
The previous configuration lets you automatically assign a Budget Approval route when creating a Matter using the specified Matter-type template, so that when selecting the Invoice Approval route during Matter creation, the Budget Approval route will be assigned due to the configuration of the custom field.
The configured budget approval route will be marked as "CF" (for Conditional Field) with the name of the Budget Approval route.

Matter creation

When creating a new Matter, under financial information, a new option to select Budget Approval route is present.
You can select a pre-configured
Custom Budget Approval Route
.

Edit options on Matter profile

  1. When selecting a specific Matter, you can select
    Edit
     to enter edit mode for the Matter.
  2. Go to the
    Financial Information
     section by scrolling down and change the Budget Approval route by choosing the
    Select
     option.
  3. Select the Budget Approval route previously configured. You can also view the approvers listed on the Budget Approval route.
  4. Once the Budget Approval route is selected, you can view the approvers listed on the Budget Approval route by selecting
    View approvers
    .

Bulk update

  1. Select
    Bulk Update
     under
    Matters
     menu option.
  2. Select the field to search and look for the
    Budget Approval Route
     field on the options menu.
  3. After search results are shown, you can select the value for the Budget Approval route that was previously created, as well as Matters that you want to update.
  4. After selecting
    Save
    , a successfully updated message is shown that confirms that the Budget Approval route selected has been assigned to the matters.
