Customize Email Notices of Contract Expiration or Renewal

When you add a contract to a matter, the Contract Status & Expiration/Renewal Data section of the contract profile form provides the following options for tracking renewal dates and details:
  • Automatic Renewal Unless Cancelled
  • Expires Unless Renewed
  • Expires on a Specific Date
  • Terminable at any time with notice
  • Other
Depending on your selection, Tracker sends an email notification by default to the Contract Person Responsible at a relative date, such as the contract renewal date or 60 days before the contract expires. You can customize the notification details.
  1. Click the Pencil icon (
    View details
    ) for the relevant date.
  2. In the
    Date/Event
    form, select the timing for the notification.You can select multiple timing options. If you select
    Send immediately,
    the message is sent when you click
    OK
    . Use this feature to re-send the notification at any time.
  3. Select the recipients. The Person Responsible is always notified. You can select one non-participant Tracker user (Other User) and multiple non-Tracker users (Other Emails). Tracker does not verify the validity of the addresses.
  4. Click
    OK
    .
Email notices are delivered at 1:00 AM Pacific Time (4:00 AM Eastern). The Events page for the matter displays a historical record of all email notifications that have been sent.

Email reminders are sent only from open matters.
If you select Automatic Renewal Unless Cancelled or Expires Unless Renewed but the matter is closed, Tracker does not send a notification about expiration or renewal of the contract.
