Reports can be scheduled to run automatically and then be sent to designated recipients via email or SFTP.
Required role | Tracker Coordinators and Company System Administrators can schedule reports, and can edit company users' administrative profiles to allow other users to schedule reports. Users with other system roles with permission to schedule reports can schedule only their own saved reports.
To schedule a report:
Click
Reports > Report list
in the left navigation.
In the dropdown, select
My Reports (all)
.
Under the
Report Name
column, find the report you want to schedule and select the three small dots icon to the far right on the toolbar.
From the menu that opens, select
Schedule
.
Specify the frequency, day, time, date, and format of the report.
note
Reports that are scheduled during a Tracker scheduled maintenance time will run and be delivered after the maintenance is complete.
Select a
Delivery Method
: Email, SFTP, or both.
Email:
Select
To
, then
Search
and select the check boxes next to the names of users who will receive the report.
The
Subject
line automatically contains the name of the report. You can type additional information on the Subject line and in the body of the message.
tip
Include your name on the To, Cc, or Bcc lines to also verify that the report was run and sent to the correct people.
Your company email system might have a size limit for attachments. Any report that exceeds the limit will not be sent. Tracker will notify you by email. Compressing your reports into zip files can help you avoid this.
SFTP:
In the
Server
drop-down list, select the recipient server. The SFTP server must be configured.
In the
Report Name
field, you can select the default report name or type a more user-friendly name that indicates what the report is about.
If the same report name already exists on the SFTP site, Tracker appends sequential numbers to the report name.
note
If you are delivering by SFTP, there are no notifications if the connection and delivery are successful. Tracker Coordinators receive a notification if there is an error in delivering the scheduled report via SFTP.
On the toolbar, select
Save & close
.
Review report Information
Reports that are scheduled to run automatically show the frequency and time of the report in the
Schedule
column in your
My Reports
list.
To review the list of email recipients, select the three small dots icon, then select
Schedule
. On the Schedule Reports window, the
To
field in the
Email
section shows the list of email recipients.
Cancel scheduled reports
To stop a report from running automatically, select the three small dots icon to the right of the report, then select
Schedule
.
On the Schedule report window, select the
Cancel schedule
button.
Reactivated Users
When a user is deactivated, their scheduled reports are also deactivated. If that user is later reactivated, the company system administrator can choose to reactivate their scheduled reports when they reactivate the user.
