Conditional logic matters, Smart matters
Configure conditional fields to populate matter profile fields automatically based on rules, creating smart matters that speed up matter creation and reduce manual data entry.
You can set up conditional fields to create “smart matters.” Conditional logic makes matter creation easier and enables connections between certain fields. Legal Tracker automatically populates matter profile fields based on the conditions you set up. For example, if you know that invoices for a particular approval route should always go to the same Lead Company Person, you could set up a condition to assign invoices on that approval route to that person automatically.
When creating conditional fields, you can create 2 types of conditional fields.
Defining an Add condition
To define an “Add” condition, you need to specify a particular value to be added to a field.
- SelectSettings.
- UnderMatters setupselectMatter Type-Templates & Matter Setup.
- Select the name of the Matter sub-type.
- Scroll to theConditional Fieldscollapsible section.
- SelectAdd Field.
- In theActiondropdown, selectAdd.
- In theFielddropdown, specify the field that will be populated for this condition.
- In theFormuladropdown, select an option.FormulaDescription= (Equals)Lets you add a specific value that a field must be equal to. Select the value that the field must equal from the predefined list.ContainsLets you use a formula to create a limited list of options for a particular field.
- In theValuefield, the name of the selection changes depending on the other parts of the formula you filled in. Select the value field to display a list, then selectSelectnext to the values that apply to your formula.
- SelectUpdate.
- If you want to add more fields, selectAdd Fieldand repeat these steps.
- SelectSave & close.
Defining an If/Then condition
"If/Then" conditions require an extra step. You first define the conditions (“if this condition is in place”), then define what must happen (“then this must happen.”)
- SelectSettings.
- UnderMatters setupselectMatter Type-Templates & Matter Setup.
- Select the name of the matter sub-type.
- Scroll to theConditional Fieldscollapsible section.
- SelectAdd Field.
- In theActiondropdown, selectAdd.FunctionDescriptionAddAdds a value to the conditional field based on the other options you choose in this section.IfAdds a value to the condition fields if certain conditions are met. You will be prompted to define the conditions that must be met by defining additional fields.
- In theFielddropdown, specify the field that you want the condition to apply to.
- In theFormuladropdown, select an option.FunctionDescription= (Equals)Lets you add a specific value that a field must be equal to. Select the value that the field must equal from the predefined list.ContainsLets you use a formula to create a limited list of options for a particular field.
- In theValuefield, the name of the selection changes depending on the other parts of the formula you filled in. Select the value field to display a list, then selectSelectnext to the values that apply to your formula.
- The options available depend on whether you selected Add or If in the action field.FunctionDescriptionAddSelectUpdate.IfChooseSelect. A new section appears with choices that are similar to the ones described early.Complete these fields to define the actions to take place.
- If you want to add more fields, selectAdd Fieldand repeat these steps.
- SelectSave & close.
Restoring Menu options with the "CF" Button
Sometimes a conditional rule applied to a menu-based allocation code field (such as Cost Center) can be misconfigured or overly complex, causing the field to display an incomplete or incorrect set of menu options during matter creation. When this happens, users can use the
CF
(Conditional Field) button to restore the full menu for that field instantly, without needing a backend fix or rule reconfiguration.- When you select a menu-based allocation code field that has a conditional rule applied to it, a small orangeCFbutton appears inside the field.
- If the conditional rule is limiting or hiding menu items, select theCFbutton to restore all menu items for that field.
- This restores the full list of menu items for that specific field, in that row only. It overrides the conditional rule's filtering for that instance without changing the underlying rule configuration.
- TheCFbutton only appears on menu-based fields that have a conditional rule applied, and only while the field is focused or selected. It is visible only on menu-based fields that have a conditional rule applied.
This behavior is currently scoped to allocation code fields only.
Examples
In this example, the
AP Route
field will be filled in with AP Route General
for all matters using this template, and matters for the selected matter sub-type are sent to AP Route General.In this example, if the organizational unit is Acme Holdings, the
AP Route
field will be filled in with EuroLux, and matters for the selected matter sub-type are sent to the Eurolux AP
route. This condition applies only to the organizational unit Acme Holdings.In this example, if the
Country
field contains United States, the Lead Company person will always be Jeff Casemanager.
