Changing the Roles of Matter Participants

You can change the roles of matter participants, but the procedure and permissions depend on which roles you want to change.

Required role | Only a matter administrator can change a user's matter role. A law firm matter administrator cannot remove a company user or a user from a different law firm from a matter.

Change the role of a regular matter participant

  1. Select
    Matters
    >
     Matter list
    in the left navigation.
  2. Access the applicable matter then click
    Participants
    .
  3. In the
    Matter Role
    column, click the matter role hyperlink of the participant.
  4. Using the
    Role
    drop-down menu, select the matter role for the user.
  5. On the toolbar, select
    Save & close
    .

Users can be added to a matter more than once and have multiple matter roles. For example, a user could have been added as matter editor, and also have been given access by virtue of being a delegate of another user who is a matter administrator. The user will have the highest matter role assigned. In the example above the user will be a matter administrator. If you are changing a user's matter role, you need to ensure that all the user's matter roles for the matter have been properly modified.

Change the role of the lead company person or lead outside counsel

The lead company person (and the lead outside counsel for an external matter) specified in the matter profile are automatically assigned the role of matter administrator. However, unlike other matter administrators, the lead company person's and lead outside counsel's matter role cannot be changed as long as they are designated as the lead company person or lead outside counsel in the matter profile.
Change the role of the lead company person or lead outside counsel for one matter
  1. Select
    Matters
    >
     Matter list
    in the left navigation.
  2. Click
    Matter Profile
    .
  3. On the toolbar, click
    Edit
    .
  4. Select a different user to be the lead company person or lead outside counsel.
  5. On the toolbar, select
    Save & close
    .
  6. Click
    Participants
    .
  7. Click the
    Matter Admin
    link next to the user who was previously the lead company person or lead outside counsel.
  8. Change the user's matter role. You can also select
    No Matter
    orReport Access if you want to remove the user from the matter.
  9. On the toolbar, select
    Save & close
    .
Change the role of the lead company person or lead outside counsel for multiple matters

Required role | Only a company system administrator or company office administrator can bulk-edit matter profiles. Additionally, a company office administrator must also be a participant in the matters to be edited.
  1. Click
    Matters
    >
    Bulk update
    in the left navigation.
  2. Select criteria for matters to update by choosing the appropriate options.
  3. Click
    Generate List
    at the bottom of the page.
  4. Enter the updated value in the provided field.
  5. Select matters to update by clicking on the check box to the left of the desired matters.
  6. On the toolbar, select
    Save & close
    .
