Tasks and Responsibilities | Responsible Person

This information is relevant for any in-house or outside counsel who is the SOP Responsible Person for a specific SOP record.

This information also applies to delegates of attorneys. If an attorney has selected a delegate, the delegate receives the same email notices and alerts as the attorney, and can take the same actions to resolve the alert.

Assignment as SOP Responsible Person for an SOP Record

When an SOP record is downloaded from CTC or CT Corp and Tracker cannot automatically route the record to a matter, the record will instead be sent to the SOP Intake Users on the SOP Intake page. Attorneys are not responsible for the SOP record at that time, and they will not receive any email notifications or alerts until after the SOP record has been moved into a matter. An attorney becomes responsible for an SOP record when both the following events have occurred:
  • The SOP record has been moved into a specific matter.
  • The attorney is or is made the SOP Responsible Person.

Email Notifications

As an attorney, how do you know when you are responsible? The system will immediately send an email to the attorney once the attorney is the SOP Person Responsible and the SOP is in a matter. In addition, if the response due date has been entered for the SOP record, the attorney will receive the reminder email notices about entering response data according to this schedule:
  • Ten days before the response is due
  • One day before the response is due
  • On the day the response is due
The timing of these response due email notices can be modified in the date/event field for the response due date.

Alerts

As discussed above, an email notice is sent any time an attorney becomes the person responsible for an SOP record. However, Tracker provides alerts in the system only if action is required to complete response data. For example, if response data is due, the attorney will see an Action Items alert in the
Document
column when the SOP record has been moved into a matter. If the user views a list of SOP records under the
Documents
tab in a matter, the user will see alert icon next to every document for which a response is due.

What the Attorney (or delegate) does to resolve the response required alert

If an attorney is made responsible for an SOP record but no response data is due, the attorney is not required to take any action in the system. On the other hand, if an attorney is made responsible for an SOP record and response data is due, it is his or her responsibility to make sure all proper responses are timely filed. In addition, the attorney (or his or her delegate must enter that response information in Tracker by doing the following to clear the alert:
  1. Access the SOP record by clicking
    Home > Action Items
    and selecting the
    Service of Process Intake
    row. The SOP documents/search list opens.
  2. Right click anywhere in the
    SOP
    row and select
    Edit
    to open the SOP details window for editing.
  3. Scroll to the
    Response Due Date & Related Information
    section and make a selection for
    Has Response Been Filed
    .
  4. If you select
    Yes
    , complete the subsidiary fields for
    Response Date
    and
    Response Attachment
    .
  5. On the toolbar, select
    Save & close
    .
