Removing Timekeeper Rates

You can remove existing timekeeper rates that have been previously entered into Legal Tracker. Normally you only need to remove certain selected timekeeper rates. However, this tool has the potential to remove all your timekeepers from Tracker, so you should be very careful when using it. You will be able to preview your existing rates to help you determine what information to delete.
important
Before you remove any timekeeper rates, be aware that rate removal is permanent. Once you have removed rates, there is no Undo option. We strongly recommended that you first use the Timekeeper Rate Report to export all the rates you intend to delete.

The procedure for removing rates is similar to the Report Engines/Timekeeper Rates Report. However, most users can use the Timekeeper Rates Report only to review rates. System Admins can use the report engines or Timekeeper Rates report to update rates, but not remove them.

Delete Timekeeper Rates

If you need to remove timekeeper rates, you can find information using a relatively broad category of search criteria. For example, you can remove rates associated with specific matters, or only those that were added to Tracker using a specific method.
Required role
| Only a company user with a system role of Company System Administrator can remove timekeeper rates.
Be aware that some rates may remain in the system, depending on the conditions you choose, so be clear in advance the types of rates you want to remove and those you want to keep. For example, if you remove rates that originated from a rate sheet and rate report, rates that were approved via invoice would remain in your system.

If you would like to test this feature without worrying about it affecting your own data, ask your Client Success Manager about getting access to the Tracker Sandbox test server. The test server is completely isolated and any data it contains is for testing.
  1. Select
    Settings
    in the left navigation.
  2. In the
    eBilling & Financial Setup
    section, select
    Timekeeper Classifications, Rates, and Reviewers
    .
  3. On the toolbar, select the ellipsis button , then
    Remove Rates
    .
  4. On the toolbar, select
    Preview existing rates.
    A new section opens on the second half of the page that you can scroll through to review your rates. To help find the specific category of rates you are looking for, you can drag a category from the column header to the area before the column headers to sort records by that category.
  5. In the
    Conditions
    section in the first half of the page, choose the criteria for the rates you want to remove.

    You can open and close the
    Conditions
    section by selecting
    Open / Close
    licking the small arrow to the right.

    Details
    Rate Type
    The options in this section let you select matters of a specific type.
    • All
      : Removes all rates (not recommended).
    • Default Rates
      : Removes only default rates.
    • All Matter Rates
      : Removes rates associated with matters
    • Specific Matter
      : Removes rates associated with a specific matter. When you select this option, another window opens to allow you to specify the matter.
    Firm Name
    Use this field to select the firm whose rates you want to remove. Click the
    Select
    button to open a list of firms and check the boxes next to the firms whose rates you want to preview. You can select as many firms as necessary.
    Timekeeper ID
    If you know a specific person’s Timekeeper ID, you can limit the preview here to that individual. You can only enter one ID at a time.
    Rate Source
    The options in this section let you limit the rates you remove to the source from which the rate was added to the system. You can select only one option.

    If you choose the
    All sources
    option, all rates will be removed. Do not use this option unless you are certain that's what you want to do.
  6. Select
    Remove
    . A warning appears, reminding you that removing the rates is permanent.
  7. Click
    OK

Example
You have worked with your firms and vendors to require that all timekeepers in the system originate from rate sheets as of December 31. To start fresh with completely new rates for a given firm beginning in January, you would remove rates in late December. However, if you only remove categories
Rate Sheet
and
Rate Report
, rates that were approved via invoice will remain in your system. Starting January 1, you could specify
Invoices
in the
Rate Source
field to remove all the rates that come in from invoices.

Viewing or exporting Deleted Timekeeper Rates

You can view or export as a CSV file a record of all rates you have deleted from the system. Please note that you will not be able to restore records with this tool. It is for viewing purposes only.
  1. Select
    Settings
    in the left navigation.
  2. In the
    eBilling & Financial Setup
    section, select
    Timekeeper Classifications, Rates, and Reviewers
    .
  3. On the toolbar, select ellipsis button .
  4. Select
    View Deleted Rates
    to view your deleted rates, or
    Export CSV
    to download the information to a CSV file. If you chose the download option, the CSV file goes to the Downloads folder on your computer.
