Request details in Multi-Levels Approvals (MLA)

Request header
Shows general information about the request.
Field
Information
Request number
The unique identifier for the request.
Request status
The status of the request.
Approval area
The area or type of request that requires approval. You can find more information about approval areas in the
General features in ONESOURCE Multi-level approvals
article in

.
Requestor
The person who initiated the request.
Requested division
The department or section within the organization to which the request belongs.
Related Request Numbers
A list of up to 15 prior related requests that have same detail items as the current request.
Request date
The date the request was made.
Is urgent
Check box control to indicate if request requires urgent review. When a request is marked as urgent, MLA sends an immediate email notification to the approver responsible for the current step. If a standard notification was already sent before the request was marked as urgent, the system still sends the urgent notification as an additional message.
Is high risk
A checkbox filled automatically by the system to indicate if it is a high-risk item.
Expected approval date
The date by which request review completion is expected for urgent requests
Cancel request
A button located in the top right corner of the page that allows you to cancel a request. Any user with access to the approval area and the request's division can use this button. A request can only be cancelled when its overall status is "Pending" or "Open," not when it has reached a terminal state.
Approval steps
Details who are the approvers from the workflow and in which answer they have provided to the request.

status. This action assigns the step back to you for further review.
Step number
The number indicating the step in the approval process.
Status
The status of each step (e.g., pending, approved, rejected).
Actions date
The date when the action was taken.
Approver
The user who approved or rejected the request.
Comment
Any comments made by the approver.
Step description
A description of what the step entails.
Division
The department or section within the organization to which the step belongs.
Approval role
The role of the approver in this step.
Products
Shows the list of products that are included in the request.

Status
The status of each approval item (product) – Approved or Rejected or Pending
Product number
The unique identifier for the product.
Product name
The name of the product.
Product description
A description of the product.
Business division
The division within the business that the product belongs to.
Is current?
Indicates if this is the latest active request for the approval item.
You can also approve or reject an approval item (product). The approval step will be set to
Partially Rejected
status if any approval item has been rejected during the step review.
Copy request
If you selected an “Approved” or “Rejected” request, you can see the
Copy request
button at the top right of the page. Selecting this button will create a new request pre-populated with details from the original request. You can still edit the fields as you wish. This feature is particularly useful for re-submitting rejected requests or creating similar new requests.

Concurrent access in Multi-Level Approvals (MLA)

When two users act on the same request at the same time, MLA ensures only the first valid action goes through. This applies to Cancel, Review, Approve, and Reject actions.
If you submit an action and another user has already updated that request, the system displays a message saying that the MLA request has already been updated by another user. The page then refreshes automatically to show the current state of the request.

Email notification of requests in Multi-Level Approvals (MLA)

When you add a new request or it moves to review, MLA sends a notification email to everyone involved in the approval areas and divisions. The group email list is solely for sending notifications. Note that users on the group email list may not necessarily have access to the MLA screens or the GTM application itself.
