Create a Departure Declaration

Follow these steps to create a
Departure Declaration
in the
DVA Departure
screen:
  1. From the
    DVA Departure
    main screen, select
    New
    .
This action will create a new item on the list that you can quickly recognize by the  (draft) icon.
  1. Select
    >
    (expand) to view more information about your declaration.
You will see a grid displaying your transactions with Customs, organized in the following format:
Column
Information
Type
Shows you the kind of declaration the entry refers to.
Status
The following statuses are possible:
  • Draft
  • Transmitted
  • Received
Transmission Failed
LRN (Local Reference Number)
This column displays a unique identifier assigned to your declaration by system.
MRN (Movement Reference Number)
This column shows a reference number associated with the movement of your declaration provided by Customs.
If you select the
>
(expand) icon again, it will open a list of tabs that cover the entire process of managing declarations.

Some actions are only available on specific screens.
  1. In the
    Declaration Data
    tab, fill in the declaration making sure that you cover the required fields marked with an asterisk.
You can create two types of declarations:
  • Departure Pre-lodgment:
    A quick notification sent to Customs before exporting goods to speed up the process.
  • Standard Declaration:
    The complete customs form when goods are exported.
To choose the declaration type, in the
Additional Declaration Type
dropdown, select
A
for
Standard
or
D
for
Pre-lodgment
. From this point on, you can start filling in all the necessary tabs accordingly. This next section exemplifies how this process would go for the
House Consignment
tab.
In some cases, if you provide additional information at the top level, you might not need to provide it at a lower level.
Add House Consignment
  1. Go to the
    House Consignment
    tab.
  2. Select
    New
    to open a pop-up screen and input house consignment information.
  1. Add the necessary information indicated by the asterisk “*”.
  2. Once you are back to the
    House Consignment
    tab, select
    >
    (expand) next to the house consignment selection. This allows you to add consignment items by going to the
    Consignment Item
    tab under the expanded
    House Consignment
    tab.
  3. Go over all the necessary tabs and fields and once the declaration is completed, select
    Save and Validate
    . The value of the “Gross Mass” field is automatically propagated to all levels, but it can still be edited. If you add more items, the system automatically calculates the sum of the “Gross Mass”.
Validation Warnings Tab
Check the
Validation Warnings
tab for any issues. The
Location
column points to the particular tab and sub tabs and then field, and the
Warning
column says what is wrong with the particular field of the stated location.After fixing all issues, select
Save and Validate
and then
Transmit Declaration.
