Manage dual declarations of goods during customs system outages

During customs system outages, it is crucial to manage both types of declarations to avoid duplication and maintain compliance. Here’s how you can handle dual declarations effectively:
Types of declarations
  • Electronic declarations:
    These are sent automatically through the DVA system.
  • Written declarations:
    These are PDF versions generated only during emergency procedures.
Procedure if the system restores
before sending a written declaration:
If the customs system comes back online before you send the written declaration, prioritize sending the electronic declaration. Once the electronic declaration is transmitted, you can nullify the written declaration by exiting the emergency procedure.
Procedure if you send both declarations:
If you send both electronic and written declarations, contact customs to request the invalidation of the electronic declaration.
This step is necessary if the electronic declaration has been accepted but not yet released for transport.
  • Steps to contact customs:
  1. Write an email to douane.nasporing.heerlen@douane.nl.
    1. Provide the reference number for the electronic declaration you wish to invalidate.
    2. Clearly state your request.
