E-mailing a Declaration Error Report
Before reports can be e-mailed to a filer, they must be saved by following the steps listed in the
Generating an Error Report
section of this User Guide. After the report has been generated, you can then click Email Report(s)
.
Clicking
Email Report(s)
will open an e-mail template pop-up. Using the e-mail function in Export Verification is no different than drafting and sending e-mails in any other application. The steps include:- Recipient
- CC Recipient
- Subject Line
- Text
- Attachment
Complete the “To”, “CC”, and “Subject” lines in the same method used in any other e-mail platform (e.g. Gmail, Yahoo, etc.).

To add attachments, expand the attachments icon to view the available documents.

Every document that was added to the declaration in the
Document Retention
screen will become available on the grid. Review the list of documents to determine which ones to attach. Once those documents have been identified, check their corresponding boxes to the left.important
The check box at the top of the grid is a
Select All
box and (if checked) will select all documents as attachments. 
After all the information is entered and all documents are attached, click
Send
.
After an e-mail is sent to someone, the recipient’s e-mail address will be stored in the system. The next time the user e-mails that same recipient, the type-ahead feature will display the e-mail address. Click on the name or press the Enter key to select the suggested e-mail address.

E-mail Templates
It is also possible to load an e-mail from a template. This can be done by clicking on the
Load Template
drop-down and selecting a template.
Templates can be stored and created in the
Email Templates
screen, which can be accessed by clicking on the Email Templates
button.
To add a new e-mail template, click on the
Add Email Template
button.
The
Email Template
pop-up has all the same fields and features as the Email
pop-up, with the addition of two additional fields:Fields | Description |

Template Name | The name of the e-mail template. |
Type | The template type (i.e. the product in which the template will be used – e.g., Export Verification). |
Use the fields and text body to draft the desired e-mail template, name the template, select the template type, and click
Save
.
