Supplier Portal Plus (SPP)

Supplier Portal Plus (SPP) is an optional functionality that a client’s authorized suppliers can use to perform a “lite” version of BOM Analysis within the portal. Through SPP, suppliers can load their BOMs for the solicited part(s) and complete BOM analysis.
They can also create FTA certificates for the qualified part(s) and submit the certificate(s) to the Client, all within the portal.
Supplier Portal Plus contains two screens:
SPP Product List
and
SPP Analysis
.
Screen
Description
SPP (PRODUCT) LIST
This screen contains a list of all the supplier’s solicited products. Its sub-grid displays the analyzed results as well as the submitted status of products for each agreement. It also contains a link to the SPP Analysis page, described below. This screen is similar to, but does not replace, the Supplier Certificate screen. It is described in more detail in the SPP (Product) List section of this chapter.
SPP ANALYSIS (UPLOAD & ANALYZE)
This screen is where the supplier can upload and analyze a BOM, provided that the BOM is formatted to the downloadable spreadsheet template. A link to this template is provided on the screen. This screen is described in more detail in the SPP Analysis (Upload BOM) section of this chapter.

SPP (PRODUCT) LIST

The
SPP Product List
screen contains a list of the supplier’s solicited products and is described in more detail in the sections below.
If the system has been configured to use Supplier Portal Plus; the
SPP Product List
can be accessed by performing the below steps.
  1. Open the
    Solicitation Administration
    screen.
  2. Click on the
    Supplier Dashboard
    view.
  3. Once the Supplier Dashboard is opened, click on a
    Go to a Solicitation
    link.
Clicking on the
Go To Solicitation
link will open the
SPP Product List
screen; which provides the following information:
  • Product Number
  • Status (Started or Not Started)
  • A link the supplier can use to upload and analyze a BOM
  • The applicable agreement(s) for the product
  • Any document(s) already attached to the product
To view additional product information, choose a product from the grid and click its corresponding expansion arrow on the left.
The applicable agreement, solicitation status, and analysis status will now be visible in a sub-grid.
Update Contact Info
If any supplier information needs to be changed or updated:
  1. Click on the
    Update Contact
    Info button above the grid to open the
    Edit Contact Information
    pop-up.
  2. Make any necessary changes.
  3. Click
    Save Information
    . The system will then return to the
    SPP Product List
    screen.
Detail View
The
Detail View
allows you to select multiple products and generate a document that includes all selected products for a specific agreement, after you have analyzed the products.
  • Generate Documents
    • You can generate a single document, or you can combine multiple products into one document by FTA. To do this, select the desired products from the grid and select the
      Generate Documents
      button. If needed, you can select all items.
    • The system generates the appropriate documents and displays them in the
      Document
      column.
  • Upload DOO
    • When you are ready to upload a document, select the
      Upload DOO
      button. A modal window appears, allowing you to choose which document, containing multiple products, you want to associate with the upload.
    • Select the arrow to expand and view the products included in the document.
    • Select the
      Choose File
      button and pick a file from your computer
  • Submit Documents
    • When you are ready to submit, select the products and then select the
      Submit Documents
      button.
  • Upload Supporting Documents
    • If you want to upload any required supporting documents, select the products and then select the
      Upload Supporting Documents
      button. You may assign a custom name to each file in the "Attachment Name" field, and, if needed, upload multiple versions of the same document. The supported file types are jpg, gif, png, pdf, bmp, xls, and xlsx.
    • After choosing your file, the screen will show the message "File was uploaded successfully". Select
      Save and attach document to checked items
      to leave the screen.
important
The ability to add or remove supporting documents is dependent on the status of the solicitation. If the solicitation has a status of
Submitted
or
Accepted
, the checkboxes in the supporting documents grid will be disabled and no changes to the attached documents can be made.
Return to Dashboard
To return to the Supplier Dashboard, click on the
Return to Dashboard
link.

SPP ANALYSIS (UPLOAD & ANALYZE)

To upload and analyze a BOM:
  1. Choose a record from the grid.
  2. Click its corresponding
    Upload & Analyze
    link to open the
    Upload & Analyze
    screen.
The page opens in a new tab, so you still have access to the original product list on your first tab.
This screen has four steps, each of which has a sub-section listed below:
  • Upload BOM
  • Edit Bill of Materials
  • Analysis and Results
  • Additional product information

Upload BOM

In the
Upload BOM
stage of the process, you can provide a BOM spreadsheet in the provided template. A blank copy of the template can be acquired by selecting
Download Spreadsheet Template
.
Enable editing on the template and enter the BOM’s information into the provided fields. Once this information has been entered, save the template to the local drive.
Return to the
SPP Analysis
screen and click on the
Browse
button. Select and upload the BOM spreadsheet.
After uploading, a system message will confirm whether the upload was successful.If the upload encounters an issue, the
Validation Errors
tab will appear. This tab is only visible when there are errors.To view a detailed grid that explains where errors occurred and the reasons for them, navigate to the
Validation Errors
tab.
Refer to the grid below for more information about the data displayed in the
Validation Errors
tab.
Column
Description
User Name
Shows the username of the user who uploaded the spreadsheet.
File Name
Shows the name of the spreadsheet containing the error.
Line Number
Indicates the Excel line where the error can be found in the spreadsheet.
Field Name
Indicates the specific field in the spreadsheet where the error occurred.
Validation Error Message
Provides the reason for the error, making it the most crucial part of the grid.
Note that while some error messages are standard, others can be customized for specific scenarios and may not be listed in the examples below.
Edit Bill of Materials
After a BOM has been uploaded, the supplier can proceed to the
Edit Bill of Materials
portion of the process. The BOM information will appear in the
Finished Good
and
Purchased Components
grids.
  1. Review all data.
  2. Make any necessary changes.
  3. If any changes need to be made to a Finished Good or a Purchased component, select the item to be modified.
  4. Click its corresponding
    Edit
    button.
  5. The selected line will become read-write. Make any necessary changes.
  6. Click
    Update
    .
  7. After all necessary changes have been made, click the
    Analysis and Results
    tab to proceed to the next step.
Analysis and Results
  1. Select one or more agreements via checkbox.
  2. Click the
    Start Analysis
    button to start the BOM analysis process.
  3. After the analysis is complete, the system message below will appear on the screen and the Result value will change to
    Analyzed
    .
  4. After analysis is complete, click on the
    Generate Documents
    tab to proceed to the next process step.
Generating a New Declaration Document
To generate a new declaration document,
  1. Select one or more agreements to include from the grid by clicking their corresponding checkboxes.
  2. Select a blanket period.
  3. Enter the signature and company information for the document.
  4. Enter Other Party Information (Receiver Name and Receiver Address) and BOM Information (Factory Name and Factory Address) if necessary. This is not mandatory for the upload process. Click the save button after including the information.
  5. To submit an existing declaration document, select the
    Choose File
    button and select a file from the local drive. Once that file has been selected, click on the
    Submit Document
    button.
  6. When you are done providing the declaration information, select
    Generate Document
    .
Extra Information
In the “
Extra Information
” section, each agreement associated with the solicitation is displayed as a separate tab, allowing you to save agreement-specific details. The data you enter in this section will be displayed on the screen for your reference. However, it will not be included in reports or synced with solicitation admin and other external systems.
In the “RVC” field, you can enter the RVC percentage your BOM scored via SPP analysis. When you’re done, select
