FTZ Management: Knowledge Based Articles – Adding Licenses/Permits to Inventory

This guide explains how to add licenses and permits to inventory layers in
FTZ Management
. Licenses and permits for various types of filings are transmitted on the Entry Summary. Depending on the record type, specific codes are used to ensure the correct license or permit is assigned to the appropriate records. Some codes may be shared between licenses and permits, so FTZ Management uses its own translation codes for accuracy. Refer to the table below for the codes used:

Adding a license or permit at the Time of Receipt

To capture a license or permit on your entry summary during receipt:
  1. In the “Additional Fields” section of your receipt transaction, enter the appropriate translation code (in bold in the table above) in the “License1
    Type
    ” and/or “License2
    Type
    ” fields.
  2. Enter the actual license or permit number in the corresponding “License1” and/or “License2” fields.
  3. If you need to report more than one license or permit
    type
    , you may use both fields. There is no requirement to assign a specific license or permit to either field; choose as needed. Note, for any particular
    type
    of license or permit, you would only report one.
Example: A transaction with two different types of licenses and permits in the “License1” and “License2” fields:
Once finalized during FIFO processing, this data will be recorded on the inventory layer and reported as the layer is depleted.

Adding a license or permit after FIFO finalization

If you need to add a license or permit to inventory that was previously received and finalized:
  1. Go to
    User Updates
    .
  2. Select the update called “Add Missing License to ReceiptDocID”.
  3. Enter the Receipt Doc ID and Product Number to ensure the correct license is added to the correct layer.
  4. Enter the license or permit number in the “License” field.
  5. Enter the correct translation code for the license or permit
    type
    in the “LicenseType” field (refer to the codes in bold in the table above).
  6. Click Execute.

  • If a different license or permit
    type
    is already present in the layer’s “License1Type” and “License1” fields, the new license or permit will be added to the “License2Type” and “License2” fields.
  • If you entered an incorrect number for an existing
    type
    , you can use this screen to update the “License1” or “License2” fields. If the same
    type
    is already present, it will be overwritten with the new number.
  • If both “License1
    Type
    ”/“License1” and “License2
    Type
    ”/“License2” fields are already used with different
    types
    than the one you are trying to add, the layer will not be updated. Only two different
    types
    of licenses or permits can be held on a layer. If you need to update one, please contact support for assistance.
