Import Invoice Template Management
The
Import Invoice Template Management
screen is used to create and edit invoices. Templates are especially useful for situations where the majority of the data on an invoice is static and only a few fields change from shipment to shipment. This screen is accessed by choosing Import Invoice Template Management
from the Import
menu.
To open an existing template, choose a template from the
Find Shipment
drop-down. This drop-down has a type-ahead feature, making it easier to locate a specific template.

To remove a template, please contact our support team. This action cannot be performed directly on screen.
Creating a Template
Users can either create a brand-new template or copy/modify an existing template. In either case, click
New
to open the Create New
pop-up.

Creating a New Template
Once
New
is clicked in the Template Management
screen, the Create New
pop-up will appear. This pop-up gives the user an opportunity to create a new template or modify an existing template.To create a new template, click the New radio button. Next, enter an Export Country and Import Country, fill in a Template Name, and then click
Save
.
Modifying a Copy of an Existing Template
Once New is clicked in the Template Management screen, the Create New pop-up will appear. This pop-up gives the user an opportunity to create a new template or modify an existing template.
To copy and modify an existing template, click From Template. Choose a template to copy, make the necessary modifications, and then click Save.

It is strongly recommended that the template name be changed prior to saving. Doing so prevents duplicate template names from being entered into the system.

Form
Some of the tabs (e.g.
Header
) are in a form view. Depending on how the system was configured, the fields on a form tab may be broken into one or multiple sections, as indicated by a gray bar.
Hiding/Expanding Sections
To hide a section, choose a section to hide and then click its corresponding arrow on the far right.

The fields for that section will now be hidden on the screen. Clicking the arrow a second time will make the fields visible again.

Fields
Fields with a red asterisk (*) beside the field name are required fields and cannot be omitted. If the user attempts to save the license and a required field is blank; the system will generate an error message on the screen.
Filter Form Fields
Each section will have a
Filter Form Fields
search box. As the user types a value into this textbox, the section will refresh to only show fields matching what was typed.
Show Required Fields
To filter a section to only show the required fields, check the “Show Required Fields” box. The grid will refresh to only show required fields.

Show Empty Fields
To filter a section to only show the empty fields, check the
Show Empty Fields
box. The grid will refresh to only show empty fields.
Validating a Template
Template information can be validated. For example, if the template has an invalid HS Number or does not pass other validations, the template status will change to “(HOLD)” and validation warnings will appear in the
System Messages
tab.Validations are configurable and can be turned on or off at the template level during the implementation process.
