Import self service

Import Self-Service enhances error management for specific import statuses, helping you identify, correct, and resolve data problems efficiently.
Import Self-Service lets you review and correct data import errors directly within ONESOURCE Indirect Tax Compliance. You can access error details, make corrections, and reprocess imports - all without needing external support or re-uploading files.
The process includes error grouping, validation rule access, audit trails of edits, and updates to the import details screen for better tracking.

Import self-service options

When you run an import, Indirect Tax assigns a status based on the outcome of the import and validation process. The following statuses indicate when Import Self-Service options are available:
  • Import Failed:
    The import contains validation errors, and no data rows passed basic quality checks. This status appears regardless of whether allocation errors are also present.
  • Rows with no errors uploaded successfully:
    The import contains validation errors, but valid data rows were successfully processed, and returns were found and uploaded.
  • Rows with no errors imported successfully:
    The import contains validation errors, but valid data rows were successfully imported. However, no returns were found or processed from the valid data.
Legacy import statuses
The original errors screens continue to appear for imports with certain legacy statuses:
  • Allocation Failed
  • System Error in Validating
  • System Error in Uploading
  • Rule Error in Validating
  • No Returns Found
  • Upload Partially Completed
  • Entity/Return permissioning statuses

Imports that you performed before the Self-Service feature was turned on will continue to show the original errors screen.

Errors screen

The Errors screen shows all errors for the import grouped by error type, letting you identify patterns, view error details, and export error data.
To access the Errors screen:
  1. Sign in to ONESOURCE Indirect Tax Compliance and go to the
    Import Details
    screen.
  2. Select the
    Error
    link on the import you want to view. The
    Errors
    screen shows all errors grouped by error type.
The Errors screen shows all errors for the import to identify patterns and common problems.
Screen features
  • Import name
  • Import date
  • Allocation specification
  • Import specification
  • Actions:
    • Edit error
      - Select
      Edit error
      to go to the
      Edit Errors
      screen. This grouping shows errors matching that specific error message.
    • Export
      - Select
      Export
      to download the error list in Excel format.
    • Show Validation Rules
      - Select
      Show Validation Rules
      to open validation rules in a new tab. This shows why errors occurred.
  • Error - The error message description, grouped by default.
  • Error Category - Classification of the error type.
  • Error Type -

  • Original Line Numbers - Show which lines contain the error in your original file.

    Only the 1st 1,000 line numbers show in the Original Line Number column. Select
    more
    to view all line numbers.
  • Group
    - Groups errors by

    . You can collapse or expand groups.
  • Sort
    - Select a column header to sort the grid by that column.
  • Filter
    - Use the filter to narrow down the errors shown.
  • Column Settings
    - Select

    • Reorder columns by dragging them
    • Resize columns
  • Reset View

    to restore the default column order and grouping.

Edit errors screen

The Edit Errors screen lets you correct import errors directly on the screen, view error details, and rerun the import to validate your changes.
The
Edit Errors
screen is used to correct errors directly on the screen. Each row represents a line from your original import file. Each row shows an error indicator showing the number of errors in that row.
  • A red exclamation mark with error count indicates unresolved errors.
  • A green checkmark indicates all errors in the row have been corrected and saved.
To make corrections, select the red-highlighted cell and enter the corrected value. When you make corrections, the following becomes available:
  • Save changes:
    Saves your corrections to a temporary space. Changes persist even if you go away from the page and return later. When saved, the row's error indicator changes from a red exclamation mark to a blue checkmark, and the cell color changes to indicate the correction.
  • Revert to original:
    Removes all changes made to the data and restores original values.
  • Undo:
    Reverses the most recent change.
  • Redo:
    Reapplies the most recently undone change.
  • Cancel:
    Hides the action buttons without saving.

If you go away from the page without saving, a warning message appears: "You have unsaved changes. If you leave without saving, your changes will be lost."

Error details panel

The Error Details panel provides contextual information to help you understand and resolve each error. Select the information icon next to the error count in any row to open the panel on the screen.
The panel shows:
  • Error Code: Specific error code identifier
  • Error description: What went wrong with the data
  • How to edit: Provides resolution steps tailored to the error type. This includes field names you need to correct, valid value formats and ranges, navigation paths to related configuration screens, and examples of correct values.
  • Reporting Date, Transaction Type Code, and other field details for context
  • More error details (additional technical information such as source data location, entity code, jurisdiction ID, reporting dates)
Use the navigation controls on the
Error Details
panel to view each error when a row has multiple errors. The panel stays open as you move between rows and updates to show information for the selected error.
Grid management features include:
  • Export:
    Download the current error data in Excel format. The file keeps current filters and column selections.
  • Column settings:
    Customize which columns are visible and their order.
  • Reset view:
    Restore default grid configuration.
  • Group data:
    Organize rows by specific columns.
  • Enter full screen:
    Maximize your screen for easier editing.

Rerun the import

After correcting errors, you can reprocess the import to validate your changes and complete the data import.
To rerun the import:
  1. Review your corrections on the
    Edit Errors
    screen to ensure all changes were made and saved.
  2. Select
    Rerun Import
    . Indirect Tax validates your corrections and begins reprocessing the data.
    1. You are automatically taken to the
      Import Details
      screen.
    2. A green banner message appears: "Changes are saved and import moved to validation."
    3. The
      Import Details
      screen shows the progress of data re-evaluation.

Edit log screen

View a complete audit trail of all data import corrections on the
Edit Log
screen.
The
Edit Log
screen maintains a complete audit trail of all corrections made to the import data.
To view your edit history, select the
Edit log
tab on the screen. The screen shows all changes made during error correction sessions.
The
Edit Log
screen includes the following information:
  • Edit Name (identifier for the edit session)
  • Import ID (unique import identifier)
  • Line Number (original line number from the import file)
  • Import Name
  • Import Status
  • Fields Edited
  • Old Value (original value before correction)
  • New Value (corrected value)
  • Type of Edit (category of change made)
  • Import Specification
  • Allocation Specification
  • Edited By (user who made the change)
  • Edit Date (timestamp of the change)
Edit Log includes:
  • Export:
    Download the
    Edit Log
    in Excel format for compliance and audit purposes.
  • Filter and Sort:
    Use column filters and sorting to find specific changes.
  • Column settings:
    Customize visible columns and their order.
  • Date range filtering:
    Filter changes by date range to view edits from specific time periods.
