Entity access

Access to an entity is required to do any of the following:
  • Add a return to that entity
  • Open a return
  • Delete a return
On the Returns window, the
My Access
column can help you find the returns you can access and your level of access. If this column is not visible, select the show/hide columns icon in the upper right corner and check the
My Access
checkbox.

Read only access

Users with read only access to an entity cannot import any data to the relevant entity. If the return is in read only mode, any new data imported will not be uploaded into the return, but will be imported into the database.
  • If data is imported into a read only return, the detailed status will be Read only return and the import status is Error.
  • If data is imported into multiple entities, but only some are in read only mode, the detailed status will be Upload partially successful and the import status is Partially successful.
  • On the View Upload screen, the status is Upload Successful for the returns with a status of Draft. For returns with a status of Read Only, the View Upload screen status will be Upload Failed with a detailed status of Read only Return.
  • The status bar for read only returns will display the message Import of: [file names] has been blocked.
If the imported data needs to be included in the return, follow the instructions below:
  1. If you have correct permissions, you can change the status to an editable state such as Draft. Once the status is changed, you will see the message Updates Available in the return.
  2. On the
    Import Details
    screen, select the rerun icon in the
    Actions
    column to upload the data to the return.
If the data is imported into multiple entities of which only some are read only, the detailed status will be Upload Partially Completed and the import status is Partial success.
On the
View Uploads
screen, the status will be Upload Successful for the returns that are mapped to an entity to which the user has access. Returns for which the user has read only access to the relevant entity display a status of Read only access to entity.
Adding or Editing Transactions
As in the case of imports, all edits done for an import to a read only return are successfully saved, but will not be updated into the return.
If the imported data needs to be included in the return, follow the instructions below:
  1. If you have correct permissions, you can change the status to an editable state such as Draft. Once the status is changed, you will see the message Updates Available in the return.
  2. On the
    Import Details
    screen, select the rerun icon in the
    Actions
    column to upload the data to the return.
Delete Import
Imports for a return with a status of Read only cannot be deleted. Instead, the detailed status of that import changes from Upload Successful to Read Only Return when a deletion is attempted.
If the imported data needs to be deleted and removed from the return, follow the steps below:
  1. If you have correct permissions, you can change the status to an editable state such as Draft.
  2. You can now delete the import and the data will be removed from the return.
Data in Rolled Forward Return
Prior period values in the rolled forward return will not be updated if data is imported into the previous period return with read only status. Only the values actually in the prior period return will be seen in the next period return.
A prior period return being read only will have no impact on roll forward functionality.
Group Return
If one of the linked single entities in a group return has the return status of read only, the data imported into that single return will not be updated into the group return.

Write

Users with write access on an entity can perform all the actions available in the Returns window.
