Processing and Printing Quarterly Advice Letters

A Quarterly Advice Letter provides to a recipient the income, expense and capital gain/loss information for a specific time period. Quarterly Advice Letters were created to provide grantors with income information about their trust accounts to use for quarterly estimated tax payment purposes. The letters, however, are available for other account types, including 1099 accounts.
Quarterly Advice Letters can be printed and shipped directly to recipients using Mail Service.

Contents of Quarterly Advice Letters

Quarterly Advice Letters include the following content:
  • A cover letter, which explains the package contents and specifies the time period covered.
  • An income and expense summary.
  • A capital gain/loss statement.

Enabling Your PAN for Processing Quarterly Advice Letters

Before you can process Quarterly Advice Letters, you must contact your Client Manager to enable your PAN(s) for processing the letters. After your PAN is enabled, the
Prepare Quarterly advice letter
check box becomes available to you on the Process page or pop-up window when submitting a tax return projection processing request.

Processing Quarterly Advice Letters

To process one or more Quarterly Advice Letters:
  1. Access the Process page or pop-up window.
    • From a register, select the check box in the second column on the left for each account you want to process a Quarterly Advice Letter for. To process all the accounts in the register, do not select any check boxes. Select the
      Process
      subtopic.
    • From the account binder, select
      Process
      from the account
      Action
      drop-down list.
  2. Select
    Tax Return Projection
    from the
    Request
    drop-down list.
  3. Select
    Partial Year
    under the
    Projection Options
    collapsible section.
  4. Enter the time period covered by the Quarterly Advice Letter in the
    beginning
    and
    ending
    fields. For example, if you are processing a Quarterly Advice Letter for estimated tax payment purposes, then the covered time period is the recipient's estimated tax period.
  5. Select
    Process
    .
  6. Complete one of the following:
    • If you started your processing request from a register, select OK when a message asking if you are sure you want to submit the accounts for processing displays. The Process page is updated with the "Batch Submitted for Processing" message. The Process page closes automatically and you are returned to the register where you started the processing request.
    • If you started your processing request from the account binder, select OK when a message asking if you are sure you want to submit the account for processing displays. The Process pop-up window is updated with the "1 of 1 Requests Processed" message. Select
      Close
      to return to the account binder.

Printing Quarterly Advice Letters

After processing completes, a Quarterly Advice Letter print file for each account included in the processing request is available in the
Document: Tax Return Projections
folder on the account binder's Documents page. To print Quarterly Advice Letters, you can:
  • Download (on an account-by-account basis) the print then print the print file from the account binder. on an account-by-account basis then print.
  • To start the download process from the account binder, select the
    Documents
    main topic to display the Documents page. If necessary, select the + sign for the tax year that contains the print file you want to print then select the + sign for the
    Document: Tax Return Projection
    category. Select the
    Tax Return Projection
    link in the
    Recipient
    column for the
    Quarterly Advice Letter
    row.
  • Use Mail Service to print and ship the letters directly to recipients.
