Mail Service Information for ONESOURCE Trust Tax Tools Users

If you are a ONESOURCE Trust Tax Tools user and you use Mail Service, you have the option to set custom account (federal return) and beneficiary milestones for tracking when the recipient package is mailed to the recipient. You can even set Tools so that the status is set and the milestone information is captured simultaneously.
note
  • There is no automated process for setting a status or milestone for Mail Service submissions that include tax return projections. A status and or milestone that uses the
    Set this Status when Letter is mailed check box
     is not automatically set by a Mail Service submission for tax return projections. You may want to create a status and/or milestone that can be manually set when tax return projections are submitted to Mail Service.
  • Contact your Client Manager if you do not currently use ONESOURCE Trust Tax Tools but want to.

Setting a Status to Track when a Recipient Package Is Mailed to a Recipient

To set a custom account (federal return) or beneficiary status for tracking when the recipient package is mailed to a recipient:
  1. Select
    SETUP
    ,
    Customize
     then
    Status
    .
  2. Select the type of status (for example,
    Account (Federal Return)
     or
    Recipient
    ) you want to set for tracking from the
    Section
     drop-down list.
  3. Select
    Search
    .
  4. Select the
    Set this Status when Letter is mailed
     check box for the status you want to track.
  5. Select
    Save
    .

Setting a Milestone to Track when a Recipient Package Is Mailed to a Recipient

To set a custom account (federal return) or beneficiary milestone for tracking when the recipient package is mailed to a recipient:
  1. Select
    SETUP
    ,
    Customize
     then
    Milestones
    .
  2. Select the type of milestone (for example,
    Account (Federal Return)
     or
    Beneficiary
    ) you want to set for tracking from the
    Section
     drop-down list.
  3. Select
    Search
    .
  4. Select the
    Letter mailed
     check box for the milestone you want to track.
  5. If you want to capture the milestone information at the time the status is set, select the status from the
    Set Milestone automatically when Status is changed to
     field.
  6. Select
    Save
    .
