Preparing a Tax History Back-End File

To prepare a tax history back-end file:
  1. Select
    HOME
    ,
    Admin
    then
    Balance Due Payments
    .
  2. Under the
    Prepare and File Balance Due Payments
    collapsible section, select Run in the
    Prepare
    column for the
    Federal and State Tax History Back-End file
    row.
  3. If a tax history back-end file was previously prepared for the current tax year, a message displays indicating that the file will be replaced. Select OK prepare a new file.
  4. The Tax History Back-End File pop-up window displays.
  5. Use the
    From
    and
    To
    fields to enter the tax return compute date range for the accounts you want to include in the tax history back-end file.
  6. Select the
    Only include account for Tax Year
    check box to include only those accounts that have tax returns that were computed in the current tax year.
  7. If you want to include estimate data in the tax history-back end file and you do not file estimate back-end files with your trust accounting system during the estimates process, select the
    Include estimate payments from the tax return computation. Do not select this if you send a back-end file for Electronic Estimates
    check box.
  8. Select the
    Send file to TAV automatically
    if you want ONESOURCE Trust Tax to automatically send the tax history back-end file to your trust accounting system after the preparation completes. Do not select this check box if you want to prepare the file without sending it to your trust accounting system.
  9. The file is not sent to your trust accounting system if the preparation process completes with errors.
  10. Select
    Submit
    .
  11. A request is initiated that determines the taxpayers and their payments for the filing. Initially, the
    Preparing Status
    column displays
    Preparing
    , but will indicate if any issues are detected in the request. To see whether the processing status changed, select
    Refresh
    or Refresh grid data at the bottom of the grid. If no errors are detected in the finished request,
    Complete
    displays in the
    Preparing Status
    column and File displays in the
    File
    column.
  12. If
    Complete with errors
    or
    Needs Attention
    displays, use the Request Status and History page to review the errors. On this page, the errors associated with
    Complete with errors
    display under the
    Request Errors
    collapsible section, and the errors associated with
    Needs Attention
    display under the
    Current Events
    section.
  13. ONESOURCE Trust Tax stores only the two most recently prepared tax history back-end files on the Documents and Data page. (See Reviewing a Tax History Back-End File for details). As shown in the following graphic, the file name for a prepared tax history back-end file includes a sequence number before the file extension:
  14. The first prepared file has a sequence number of 0, and the second prepared file has a sequence number of 1. When a third tax history back-end file is prepared, the oldest prepared file is replaced with the newest prepared file. The sequence number for the newest prepared file is 0.
