Working with Registers
Registers are lists of information designed by your tax department for your use. Registers can be created at anytime, and they are immediately available for you to use. If you have not already done so, work with your tax department to design a register that fits your needs.
The Home page includes the registers you recently opened under the
Register Processing Status
collapsible section. The Register Listing page lists the registers you can work with.Opening a Register
You can open a register using the Home page or the Register Listing page. The Home page includes a subset of the registers that are available to you on the Register Listing page. All the registers available to you are included on the Register Listing page.
Using the Home Page
When you use the Home page to open a register, the results you see are from the last time the register was run. You can refresh the register results before opening the register by selecting
Refresh Register Results
for the register row.To use the Home page to open a register:
- SelectHOME.
- Navigate to theRegister Processing Statuscollapsible section.
- SelectRefresh Register Resultsif you want to refresh the register results before opening the register.
- Select theOpen Registerlink for the register you want to open. The first page of the register displays. The time it takes to display the information included in the register depends on the amount of data and complexity of the request.
- Use the page slider (or +/-) at the bottom of the grid to move through the register pages.
Using the Register Listing Page
When you use the Register Listing page to open a register, the results you see are the current results. See Refreshing a Register if you want to refresh the register after it is opened.
To use the Register Listing page to open a register:
- SelectREGISTERS.
- Locate the register you want to open by navigating to it or applying a filter. To apply a filter, select the Filter Bar for the column you want to apply the filter to, enter or select your filter criteria, select Filter then selectApply All Filters.
- Select RunRun Registerfor the register you want to open. The first page of the register displays. The time it takes to display the information included in the register depends on the amount of data and complexity of the request.
- Use the page slider (or +/-) at the bottom of the grid to move through the register pages.
Searching a Register Page
To search the currently displayed register page, press
Ctrl+F
.Updating a Register
Although most ONESOURCE Trust Tax Insight register fields cannot be updated, your tax department supervisor may have created a register with updateable fields. For example, your tax department supervisor may have created a register so that the tax department can ask questions for trust administrators to answer. To provide an answer, select the register field, enter the text of your answer then select
Save
. You can also cut, copy and paste text into the field.note
If you do not save your response, you will be asked if you want to discard your changes before you refresh or exit the register.
Refreshing a Register
Complete one of the following to refresh a register:
- SelectRefresh the Registerfrom theRegister Actiondrop-down list.
Printing Worksheets or Tax Return Projections from Registers
If you were granted the user rights to view and print worksheets or tax return projections, you can use a register to select one or more accounts to print from a register. The document type (worksheet or tax return projection) is printed if the requested document type exists (meaning, the document type was processed in ONESOURCE Trust Tax).
To print worksheets or tax return projections from a register:
- SelectREGISTERSto access the Register Listing page.
- Open the register that includes the accounts that have the worksheets or tax return projections you want to print.
- Select the check box in the first column for each account you want to print the worksheet or tax return projection for. If you want to print worksheets or tax return projections for all of the accounts in the register, do not select any check boxes.
- SelectPrintfrom theRegister Actiondrop-down list.
- Select the document type (WorksheetorTax Return Projection) you want to print from theDocumentdrop-down list.
- The user rights that were granted to you determine whetherWorksheetandTax Return Projectiondisplay in theDocumentdrop-down list. If neither user right was granted to you, you cannot make any selections in the Print pop-up window and the Print pop-up window includes the message, "User does not have rights to print documents."
- Select the document option from theDocument Optiondrop-down list. It is most common to selectMost Recentfrom theDocument Optiondrop-down list.
- Select the specific sections of the document you want to print from theDocument Selectiondrop-down list.
- Select the number of copies you want to print from theCopiesdrop-down list.
- Select the additional print options under thePrint Locallygroup box. The additional print options allow you to suppress the bar code pages, combine each account's document into one PDF or keep them separate, or print documents on both sides of the page.
- SelectSubmit. The print request is submitted. You can now navigate to theRequest Historygrid on the Home page.
- In theRequest Historygrid, you can access the document created from the print request by selecting the link in theFile Namecolumn.
- If the print request returned no results, accessRequest Errorsin theRequest Historygrid. TheErrorcolumn shows the reason the print request failed. The most common error is that the document does not exist for the respective account(s).
Exporting a Register
Registers can be exported for opening in a spreadsheet program, such as Microsoft Excel. Only one register can be exported at a time.
An exported register is packaged into a compressed file (*.zip). Before you can open the register in a spreadsheet program, you will need to download the file from ONESOURCE Trust Tax Insight then extract it using a file compression utility (such as WinZip).
The tax department supervisor must grant a user right to you before you can export registers.
To export a register:
- SelectREGISTERSto access the Register Listing page.
- Navigate to the register you want to export, if necessary.
- Select theExport Registercheck box for the register. The following graphic shows theExport Registercheck box selected for the1099 accountscustom register.
- SelectExport.
- On the Ask Dialog pop-up window, select a file format for the exported file. The selections include:
- Excel (.xlsx)-A Microsoft Excel Open XML Format Spreadsheet file.
- Text (.txt)-A standard text document file.
- CSV (.csv)-A comma separated values file.
- If you selectedText (.txt)orCSV (.csv)as the file format, then select the delimiter from theChoose Delimiterdrop-down list. SelectingCommawill generate a comma-delimited file. SelectedPipewill generate a pipe-delimited file.
- Select OK.
- Complete the following to download and open the exported register:
- Access the request status and history. SelectRequest Status and Historyfrom theRegister Actiondrop-down list. You can also selectHOMEthen use theRequest Historycollapsible section on the Home page.
- The following graphic shows where theRegister Actiondrop-down list is located:
- If the export has not completed, it is listed under theCurrent Requestscollapsible section withExport Registerdisplayed in theRequest Typecolumn. SelectDisplayuntil the export completes and is no longer visible under theCurrent Requestscollapsible section.
- Under theRequest Historycollapsible section, find theExportrequest type andRegisterrequest option. The following graphic shows where the request type and request option are located:
- Select the link in theFile Namecolumn.
- The download process starts. One of the following occurs, depending on how your Internet browser is configured:
- If your browser is not configured for automatic downloads, you are asked to save the file. After saving the file, use a file compression utility (such as WinZip) before opening the register in a spreadsheet program.
- If your browser is configured for automatic downloads, the downloaded file is available in your browser's Download tray after the download process completes. Select the file to open it.
