Updating Status and Milestones

Status and milestones are updated using the Tracking page. You can access the Tracking page from a register (if you want to update multiple accounts with the same status or milestone value), from the account binder, or from the Home or Accounts page (if you want to update one account). When you access the Tracking page for an account that requires related processing (combined and sub-accounts or holding and asset-receiving accounts), you cannot access the related accounts from the Tracking page.

On the Register Listing page, the
Workflow Management
base category includes registers for viewing account (federal return), recipient and state return status values. You can use these base registers to create custom registers that include milestone dates. Although the status values can be updated from these registers, you should use the Tracking page as a best practice.
Status and milestone values for printed documents can be updated based on barcodes that are scanned with a barcode scanner.

Updating Status and Milestones for Multiple Accounts

If you have multiple accounts that you want to update with the same status or milestone value, you can use a register to select the accounts to update. To use a register:
  1. From the Register Listing page, select Run for the register that lists the accounts you want to update the status and milestone values for.
  2. Select the accounts you want to update. To select one or more accounts, select the check box in the second column on the left. If you want to apply the milestone to all of the accounts in the register, do not select any check box.
  3. In the topic list panel, select the
    Tracking
    subtopic. The Tracking page displays.
  4. If more than one type of return is prepared for the accounts you selected, select the document type you want to update from the
    Type of return
    drop-down list under the
    Status and Milestones
    section.
  5. If you want to update the status, select the new status from the
    Current Account Status
    drop-down list under the
    Account Tracking
    collapsible section.
  6. If you want to mark a milestone as completed, select the
    Done
    check box for the milestone.
  7. Select
    Save
    .

Updating Status and Milestones for an Account

To update the status and milestones for an account:
  1. Complete one of the following to display the Tracking page for an account:
    • If the account binder for the account you want to update is already open, select
      Account
      then
      Tracking
      .
    • If you do not have the account binder or a register open, select
      HOME
      or
      ACCOUNTS
      to access the Home or Accounts page. Select
      Tracking
      under the
      Open Account
      collapsible section. If you know the account number of the account you want to update, enter the account number in the
      Account Number
      field then select
      Open
      . If you want to select from a list of your active accounts, select
      List
      then select the account you want to update from the grid that displays.
  2. If more than one type of return is prepared for the account, select the document type you want to update from the
    Type of return
    drop-down list under the
    Status and Milestones
    collapsible section.
  3. The following graphic shows the

  4. Use the
    Account Tracking
    collapsible section to update the account (federal return) status and milestones.
    1. To update the status, select the new status from the
      Current Account Status
      drop-down list under the
      Account Tracking
      collapsible section.
    2. To mark a milestone as completed, select the
      Done
      check box for the milestone.
    3. Select
      Save
      .
  5. Use the
    Recipient Tracking
    collapsible section to update the recipient status and milestones. In the grid under the collapsible section, each recipient is listed on a separate row. The following graphic shows the
    Recipient Tracking
    collapsible section:
    1. To update the status for a recipient, select the new status from the recipient's
      Current Recipient Status
      grid field.
    2. To mark a recipient milestone as completed, select Plus sign for the recipient. The recipient milestones display. Select the
      Done
      check box for the milestone that was completed.
    3. Select
      Save
      .
  6. Use the
    State Tracking
    collapsible section to update the state return status and milestones. In the grid under the collapsible section, each state attached to the account is listed on a separate row. The following graphic shows the
    State Tracking
    collapsible section:
    1. To update the status for a state return, select the new status from the state's
      Current State Status
      grid field.
    2. To mark a state return milestone as completed, select + sign for the state. The state return milestones display. Select the
      Done
      check box for the milestone that was completed.
