We are pleased to announce
Notes
, a collaborative enhancement to ONESOURCE Workflow, designed to streamline communication and documentation within workflows. Notes enable contextual discussions at the workflow level, facilitating traceability and accountability through threaded conversations and historical logging.
This feature supports both collaborative and informational use cases, whether your team needs to engage in active discussions around workflow questions or share static information and disclaimers. Notes marked as "Permanent" can be carried forward to future workflow cycles for the same jurisdiction and financial year, preserving critical institutional knowledge year over year

Notes tab
A new
Notes
tab is now available within every workflow folder, displaying all notes with relevant details including note number, author, timestamp, content, note type, permanency status, and responses.
How to create Notes
Users with access to the workflow can create a note, assign it a Note Type, mark it as Permanent and notify one or more users of its creation.
  • Note Types are a managed list configured by your Administrator. All notes must have a Note Type.
  • Permanency indicates that the note should be carried forward upon roll forward. (Roll forward will be available in a later release, and this flag will be honored at that time.)
Respond to Notes
  • Direct Responses
    : Reply to the overall note thread to contribute to the general discussion
  • Quoted Responses
    : Reference and respond to a specific message by quoting it. A snippet of the quoted message displays above your response for context.
  • User Notifications
    : Select users to receive email notifications when adding responses
Configure Note types
Notes cannot be created until at least one Note Type has been created. Administrators with "Edit" permission for "Global Settings" can manage note types at the tenant level (Setup > Lists > Note Type)
Access to Classic Workflows
Users of our classic ONESOURCE Workflow Manager can now access and open classic Workflow folders directly from a new tab in the new tab in the new Workflow. A new permission in User Administration has been added to allow users access to the new tab.

Coming soon

An upcoming release will introduce enhanced note management capabilities, including updating note status (Open / Closed), editing text content, deleting notes and responses, modifying note properties after creation, and viewing complete note history.
