Add a new workflow template

A workflow template standardizes business processes by outlining tasks in a specific sequence. These templates ensure consistency and efficiency across different entities, jurisdictions, and financial periods. You can set optional due dates and assignments, making them versatile tools for managing repetitive processes.
Go to either the
Published
or
Draft Template
tab and select
Add
. The template wizard opens to guide you through the setup process.

Step 1: General Information screen

Enter a name for your new template and add a
Description
.
  1. Associate applications: Refer to
    Associate applications
    for more information.
  2. Enabling Mandatory Fields:
    1. Associate applications turns on mandatory fields related to those applications.
    2. These mandatory fields need to be filled out when creating a new workflow.
  3. Enable Process type: Refer to
    Creating and Enabling Process Types
    for more information.
After selecting all the required fields for the template, select the
Next
button to continue.

Step 2: Task List screen

Adding Tasks to Your Workflow:
  1. Select the
    Create New Task
    button and enter the task details, ensuring you don't exceed 250 characters.
  2. Repeat this step to add all necessary tasks.
  3. Once you add all tasks, select the
    Next
    button to proceed.
If you intend to automate the workflow creation process, the following steps are essential. However, if you want to proceed directly to the final stage, you can select
Continue
to preview and publish your workflows.

Step 3: Configure Defaults screen

Define default assignments and due dates based on specific conditions.
You can configure Defaults for Target Date, Assignments, and Due Dates on this screen.

Step 4: Default Selections screen

After Configuring Defaults, you’ll proceed to the Default Selections Screen. This screen lets you fine-tune how target dates, assignments, and due dates are set for your workflow tasks.
  1. Set Default Values:
    1. Select on the dropdown menu labeled
      Set Defaults for
      .
    2. Select the element you want to configure (Target Date, Assignment, or Due Date).
    3. Enter the default value that will apply when no specific criteria are met.
  2. Add Specific Criteria (Optional):
    1. To set values based on specific conditions (for example, different target dates for each Jurisdiction), select
      Add Row
      .
    2. In the new row, enter the specific criteria (for example, Jurisdiction) and the corresponding value.
    3. Repeat this process for each unique condition you want to define.
After you configure the defaults in the final step, select
Preview
to review your information. If no further changes are needed, you can proceed to publish. If you want to make changes, select the
Edit
option available for each step to make the necessary changes.

  • The system will first try to match the workflow details with your specific criteria. If no match is found, it will use the default value for creating workflow tasks.
  • Ensure there are no empty rows in your configuration. Empty rows will cause system errors.
  • You can configure defaults separately for Target Dates, Assignments, and Due Dates.
