Import and export trial balance account information

You can import account information balances and transactions from an Excel spreadsheet (XLS or XLSX) or a comma-separated values (CSV) file stored in your local drive or in Onvio Documents.
The account information that you can import includes: account numbers, account descriptions, unadjusted balances, grouping codes, and tax coded assignments.
You can also export account information from Onvio to a spreadsheet, which you can save to your local drive.
Hidden and filtered rows or columns won’t be included in the spreadsheet import.

Start the Import wizard

  1. Open a project.
  2. Select the
    Trial Balance
    tab.
  3. Select
    Import
    , then
    Spreadsheet
  4. Complete the following steps of the Import wizard.

Import wizard step 1: Select File

  1. Select
    My computer
    or
    Documents in Onvio
    from the
    Select source
    dropdown.
  2. If you select
    My computer
    , use
    Browse
    or drag and drop to select a file. If you select
    Documents in Onvio
    , select a file from your folders.
  3. Select
    Next
    .

If you select
My computer
, the file will be stored in Onvio Documents unless you clear the
Store the uploaded file in Documents
checkbox.

Import wizard step 2: Define Data

  1. If you're importing a spreadsheet with more than 1 worksheet, choose the worksheet that you want to import from the
    Select worksheet
    options.
  2. Select
    Edit
    at the beginning of each column that contains data that you want to import, select the
    Column Type
    that describes the data, then select
    Save
    .
  3. Mark the
    Omit
    checkbox in any row that contains incorrect data or a header row.
  4. Deal with any alerts or warnings that are flagged in the
    Issues
    column.
  5. If you want to map the account codes from your file to existing account codes in Onvio:
    1. Turn on
      Map accounts
      .
    2. Select
      Next
      .
  6. If you don't want to map accounts, select
    Next
    to go to step 3 (Choose Tax Codes).

  • If you see alerts or warnings when defining data, you won’t be able to continue until you have resolved them. Hover over an alert or warning to read a description of it.
  • Onvio can only import the following characters from your file: letters, numbers, hyphens, dots, and forward slashes.

Import wizard step 3: Choose Tax Codes

  1. Tax codes will be predicted based on account descriptions. Select the correct tax code for each account.
    note
    Tax codes are only predicted for entity types Individual, C Corporation, S Corporation, and Partnership.
  2. Select a predicted tax code.
  3. Select
    Assign manually
    and select a code that was not predicted.
  4. elect
    Don't assign tax code
    if you don’t want any tax code assigned to the selected account.

    Use predictive tax codes for tax accounts
    if you don't want to import tax codes.
  5. Select
    Finish Import

How to export account information

You can export all the account balance information from the trial balance as a Microsoft Excel file (XLSX).
  1. Open a project.
  2. Select the
    Trial Balance
    tab.
  3. Select
    Export
    .
Onvio creates a file for export that includes information for all rows and columns in the Trial Balance grid. Before you export a trial balance, you can add and delete columns in the grid, as needed.
