Migrate data to Onvio Trial Balance

This article provides guidelines to help you migrate your firm's data to Onvio Trial Balance.

Considerations

Consider the following before you proceed with migration.
  • If you have several years of historical Workpapers CS data, you may want to store and access your older Workpapers CS data locally, then begin any new work in Onvio Trial Balance.
  • If you need to create historical binders in Onvio Trial Balance, we recommend that you print the binders to Onvio Trial Balance as PDF files.
  • Variables and formulas that are linked to trial balance information within Workpapers CS can't be migrated to Onvio Trial Balance. We recommend that you recreate the linked documents in Onvio Trial Balance after the migration is complete.
  • Clients should be closed to the new year in Workpapers CS prior to migrating. This will ensure that prior-year work is closed out properly and that beginning balances will be correct in Onvio Trial Balance.

Setup steps in Onvio before migration

  1. Add or update client information.
  2. Verify that period frequencies and fiscal years are properly set.
  3. Set up project templates.
  4. Add folder and binder templates.
  5. Turn on integration between Onvio and UltraTax CS.

Trial Balance information

Before you begin working in Onvio Trial Balance, you'll need to complete the following tasks in Onvio Center.
Trial Balance information can be entered manually or imported via an Excel spreadsheet. The following information can be imported via spreadsheet into Onvio Trial Balance.
  • Account Number
  • Account Description
  • Beginning Balance
  • Adjusted Balance current year
  • Adjusted Balance prior year
  • Account classification code
  • Account classification subcode
  • Tax code
  • Tax subcode
  • Tax code unit
  1. In Onvio Trial Balance, open a project and select the Trial Balance tab, and then go to
    Import
    Spreadsheet
    .
  2. File Source
    : Select
    My Computer
    , then
    Next
    .
  3. Select File
    : Go to the location of the file to import from your local drive, select the file, then
    Open
    . You can also drag and drop the file into the
    Import
    screen.
  4. Select
    Next
    .
  5. Define Data
    : Define the account records from the import file and map them to the correct accounts in Onvio.
    • Select the correct worksheet before the grid (tab in the spreadsheet) from which to import account groupings and/or tax code assignments.
    • Select
      Edit
      for the correct column to open the
      Column Details
      panel.
  6. Select
    Done
    to complete the import.

Binder information

  • Folders and workpapers can be uploaded or dragged and dropped directly into the binder.
  • Workpapers can be scanned into Onvio Trial Balance.
  • Workpapers can be printed to Onvio Trial Balance.
