Manage eArchive settings

Set up your company's eArchive settings in the Company Profile tab of both the old and new environments by editing document retention details and saving changes to comply with legal requirements.

Set up eArchive settings in the old environment

Pagero eArchive solution is a value-added product offered by Pagero that helps you to ensure legal archiving for your fiscal and business documents transported via the Pagero Network. The solution is adaptable to multiple legislative requirements and is designed to adapt to the relevant country-specific requirements with minimum configuration by you as a customer.
Without the eArchive solution, your documents will be retained in Pagero Online for 90 days. Only users with company administrator permissions have access to configuring setting related to the eArchive. If you don’t refer to the
Company settings
option in the side panel, contact the person assigned as Company administrator for your company.
Do the following to manage your company's retention settings:
  1. In the old version of Pagero Online, go to
    Company settings
    then the
    Archive
    tab. In the old UI, go to
    Settings - Settings - Company settings
    , then the
    Archive
    tab.
  2. Select which country's jurisdiction should be applied.
  3. Go to
    Select jurisdiction
    and select the country from the dropdown.
  4. Select the
    Retention type
    .
    note
    • Which retention options you're presented with depends on the country you have selected in step 1.
    • The selections displayed are all the options identified in your selected country.
    • If your country only has 1 retention rule applicable for all documents, only the
      Standard
      type will be available for selection.
  5. If you want a customized retention type, mark the
    Customize Retention Time
    checkbox.

    This verifies that you selected to use your own configuration for the account. Doing so disqualifies the account from any automated regulatory updates identified by Pagero’s Regulatory team.
  6. Select the number of years your documents should be archived for under
    Set preferred Retention Time
    . The dropdown offers options between 1-30.
  7. Select
    Save.

Set up eArchive settings in the new archive solution

These settings are currently only available for customers who have been migrated to the new archive solution. This is currently limited to Region 2, meaning customers using Pagero for the French e-invoicing mandate.

Without the eArchive solution, your documents will be retained in Pagero Online for the default storage period. Only users with company administrator permissions have access to configuring settings related to the eArchive. If you don't have the
Company Profile
option in the navigation panel, contact the person assigned as Company administrator for your company.

Only Pagero personnel can turn on or turn off the eArchive solution for your account. To request activation or deactivation, contact Pagero Support.
Do the following to manage your company's retention settings:
  1. Go to
    Company Profile
    , then select the
    Document Retention
    tab.
  2. The Document Retention table lists all document types with their current
    Retention policy
    ,
    Retention type
    ,
    Retention time
    , and
    Jurisdiction
    . Select a row to open the
    Details
    panel.
  3. In the
    Details
    panel, select
    Edit
    to open the
    Edit
    panel.
  4. Select the
    Retention type
    .
    note
    • The options available depend on the country selected in the
      Jurisdiction
      dropdown.
    • If your country only has 1 retention rule for all documents, only the
      Standard
      type will be available.
    • Each
      Retention type
      sets a legally reviewed storage period. Pagero updates these automatically when legislation changes.
  5. The
    Retention time
    is set automatically based on the selected
    Jurisdiction
    and
    Retention type
    and shows the number of years your documents will be stored.
  6. Select
    Save.
