Enter Adjustments

  1. Select
    Actions
    , then
    Receipt & Adjustment Entry
    (or press
    Ctrl+R
    ).
  2. Select
    Entry
    , then the
    Adjustments
    tab.
  3. Choose a
    Control Date
    .
    note
    A
    Control date
    is a date your firm uses to group items for reporting and reviewing purposes. Your firm may use a different control date for each business day, or a single control date for each week of transactions
  4. Choose the adjustment
    Type
    :
    • Credit Card Return (CCR)
    • Credit Memo (CM)
    • Debit Memo (DM)
    • Non-Sufficient Funds (NSF)
    • Write Off (WO)
  5. Enter a check number or other reference in
    Ref Number
    , if needed.
  6. Enter the
    Amount
    of adjustment or use the calculator to enter the amount.
  7. If you chose
    Credit Memo
    ,
    Non-Sufficient Funds
    , or
    Write Off
    , you'll need to determine how the adjustment is applied to the client’s invoices, then proceed to step 9.
  8. If you chose
    Credit Card Return
    , you'll need to choose the credit card or use
    Manual Entry/Swipe
    to enter the credit card details in CS Payment.
  9. Select
    More
    More button with ellipsis icon next to
    Applied
    to apply adjustments to invoices, then enter amounts in the
    Applied
    box for each outstanding invoice.
    tip
    Alternatively, select
    Auto Apply
    to apply the adjustment automatically to the oldest invoices first, moving forward until it has been fully applied or until there are no other invoices to which it can be applied.
    note
    • You can't apply a Debit Memo to an invoice because it acts as its own invoice.
    • Non-Sufficient Funds entries (NSFs) are applied to receipts, not invoices.
    • You can only apply NSFs to receipts that are CHK type and that match the amount of the NSF.
  10. Enter a
    Comment
    about the adjustment, if needed. 
    tip
    If you select the
    Comment
    button, you also can insert standard text and variable dates, and check spelling.

    Practice CS shows the status of credit card refunds processed via CS Payment:
    • Accepted

    • Pending

    • Rejected
      Rejected button with a lock icon and a cross
    You can right-click the status, and select
    View Results
    for more information. You can also right-click the icon and choose
    Resubmit Credit Card
    to try again.
