Unapply a receipt or adjustment
To edit or delete an invoice or unpost a service charge, there can be no receipts or adjustments applied. If you attempt to modify an invoice or unpost a service charge with receipts or adjustments applied to it, you'll get one of the following messages:
- Cannot unpost Service Charges that have applied Receipts and/or other Service Charges.
- The following invoice(s) could not be modified: The invoice has receipts and/or adjustments applied
- SelectActions, thenReceipt & Adjustment Entry.
- Select theOverviewtab.
- Filter to find the client.
- Find the receipt or adjustment applied to this invoice or service charge.tipThere may be more than one. You can select the plus sign next to the receipt to view the invoices and service charges each receipt/adjustment was applied to.
- If the receipt is grayed out:
- If your firm uses approval and posting, go to theReviewtab.
- Find the receipt/adjustment.
- Mark the checkbox next to it.
- Right-click and selectUnapprove Selected.noteThis will unapprove and unpost the receipt/adjustment so you can edit it.
- Return to theReceipt or Adjustmenttab where you started.
- For each receipt or adjustment applied to the invoice or service charge in question, selectBrowse.
- Change theApplied Amountto0.00.
- SelectOK.
- Repeat for each receipt or adjustment applied to the particular invoice or service charge in question.
- Once all receipts and adjustments have been unapplied, you can edit or delete the invoice or unpost or override the service charge.
- Re-apply the receipt or credit to the invoice/service charge by repeating steps 1 to 9. In step 7, enter the amount of the receipt you want to apply.noteIf you can't find the receipts or adjustments, use the Receipt and Credit Applications report to view a list of receipts and credits along with the invoices and service charges they are applied to.You'll need to import this report from the Practice CS Library. Go to the Practice CS Home Dashboard, selectCustom Formats, and import theReceipt and Credit Applicationsreport under Collections.Before you can print the report:
- SelectFile, thenPrint Reports.
- Select theReceipt and Credit Applicationsreport
- Select theLayouttab.
- Verify theApplied tois set toCredit items.
