Reprint an invoice

Practice CS stores information in the database so that you can preview or reprint any invoice previously created in the system by any method.
There are 2 methods for previewing or reprinting a previous invoice.

View or reprint from the
Billing Review
screen

  1. Go to
    Actions
    , then
    Billing
    .
  2. Select the
    Review
    tab.
  3. Mark the checkbox to select the invoice to preview or reprint.
  4. Select
    Preview Selected
    to preview the invoice on the screen. Select
    Print Selected
    to output the invoice to a printer, FileCabinet CS, GoFileRoom, a file, an email, or NetClient CS (if licensed).

View or reprint from the Prior Invoices portlet on the Client Dashboard

  1. Select
    View
    , then
    Client Dashboard
    .
  2. Select the client to reprint an invoice for.
  3. Go to the Prior Invoices portlet.
  4. Select the invoice to preview or reprint.
  5. Right-click anywhere in the portlet.
  6. Select
    Preview Selected
    to preview the invoice on the screen. Select
    Print Selected
    to output the invoice to a printer, FileCabinet CS, GoFileRoom, a file, an email, or NetClient CS (if licensed).

Considerations

While you can view or print prior invoices using the previous procedures, Practice CS doesn't save a true image of the invoice. Therefore, the invoice that is previewed or reprinted may not appear exactly the same as the original. To obtain an exact duplicate of the invoice, regardless of subsequent changes, you must have output the invoice to FileCabinet CS, GoFileRoom, or a file when it was originally printed, and then reprint the invoice from one of those systems.
As long as the billing amounts were not modified, the billed amounts will remain unchanged from what they showed originally. However, changes to client demographic information in client setup and different A/R Balances at a later date are among those things that will produce different results in some sections of a reprinted invoice. This is true regardless of whether or not the Invoice was "composed" originally. For instance, if any activity dated before the invoice date (such as the subsequent entry of a receipt) was performed that would have changed the A/R activity, beginning balance, or balance due, that change will be reflected on the reprinted invoice.
Some of the re-print behavior depends on whether the original invoice was modified in the
Compose
tab of the
Billing
screen.
Compose performed: The invoice will be "re-rendered" with the "current" data based on the old invoice format's variables that were defined at the time. For instance, if the invoice format that was used at the time the invoice was printed had a variable [Client Name 1] and that name is then changed in client setup, doing a preview now will show the new name and not the previous one, even though you are previewing an old invoice. However, subsequent changes to the invoice format should, in theory, not be picked up. For instance, if you changed that same format to now use the [Client Name 2], a reprint of that old invoice will still print (the current) Client Name 1 and not Client Name 2.
Compose not performed: A copy of the original Custom Format is not embedded into the bill/invoice, only a reference to which custom format was used (by name). If you reprint an old invoice that was not composed, then it won’t only re-render with "current" data as described earlier, but it will also use the current invoice format's variables and formatting.
