Request files from a contact

The file transfers feature in Practice CS lets you request files from contacts, who can then transfer files to you through portals in NetClient CS. Files are transferred securely, and the contact receives an email with instructions for completing the transfer.

To use the file transfers feature, your firm must be licensed for the Client Management module of Practice CS, as well as NetFirm CS (for portals).
To request files from a contact, follow these steps.
  1. Select
    File
    Request Files from Contact
    .
  2. In the
    From Staff
    field, select the staff member who is requesting the files. Practice CS automatically populates this field with the name of the staff member currently signed in, but you can select a different one if needed.

    The staff member in the
    From Staff
    field must already be associated with a portal in NetStaff CS.
  3. In the
    To
    field, select the contact from whom you are requesting the files.
    The contact must have a valid email address entered in Practice CS.

    If the contact doesn’t yet exist in Practice CS, right-click and select
    Add Contact
    .
  4. If necessary, in the
    Of
    field, select the client, staff member, or office associated with the contact.
  5. In the
    Subject
    field, enter the text for the subject line of the email the contact will receive.

    The text in the
    Subject
    field also becomes the name of the folder created in the portal.
  6. From the dropdown following the
    Subject
    field, select whether to deliver the message body securely or include it in the body of the email. Contacts can only read secure messages through their portals in NetClient CS.
  7. In the message field, enter a message to the contact. Make sure to describe the files you are requesting.
  8. Select
    Send
    . If the selected contact is already associated with an active portal, Practice CS immediately sends an email and the file request to the contact's portal.
  9. If no portal exists for the contact, Practice CS prompts you to select one of the following options.
    • Help me find and use an existing portal
      — Opens the
      Find Portal
      window, where you can search for an existing portal associated with the contact or add a new one. If you find a matching portal, highlight it and select
      Select
      to continue. The contact will receive an email about the file request.
    • Add a portal for NetClient CS
      — Creates a new portal in NetClient CS for the contact. The contact will receive 2 emails: a welcome message with instructions for registering and logging in to the new portal, and a notification about the file request.
    • Add a temporary portal for NetClient CS
      — Creates a new temporary portal in NetClient CS for the contact. The contact will receive 2 emails: a welcome message with instructions for registering and logging in to the new portal, and a notification about the file request.
Contacts for whom you create portals (full or temporary) must register their portals before they can access the requested files. Registration emails will come from
