An explanation of formulas containing "live open", "period open" and "posted open"

Throughout the differing custom formats in Practice CS, the Formula Selection Tree references formulas that reference "posted", "live" and "period". Selecting the correct formula is important to ensure the correct calculation is done. The following is an explanation of these types of formulas to help you decide which to use in your custom format.

Period Open Amount

This looks at the amount that has not yet been billed through the end of the current period in the database.
Example: time dated for 4/25/2016, billed on an invoice dated 5/6/2016
  • When you run the report with a period of 5/1/2016 - 5/31/2016, no amount will print.
  • If you move the period back to 4/1/2016 - 4/30/2016 and run the report, that unbilled time will print because as of April 30 (the end of the period) the time hasn’t yet been billed and has an open amount

Period Open Units

It operates the same as the Period Open Amount formula, except it will control units instead of an amount.

Live Open Amount

This looks at the amount that hasn’t yet been billed regardless of the period.
Example: A timesheet dated for 4/25/2016, billed on an invoice dated 5/6/2016
  • Regardless of the period dates or report date ranges, it won’t print because it has been billed.
Example: A timesheet dated for 4/25/2016, but hasn’t been billed or has been partially billed.
  • The unbilled amount is printed on the report.

Live Open Units

It operates the same as the Live Open Amount formula, except it will control units instead of an amount.

Posted Open Amount

When using the Approval/Posting process, this looks at the amount that has been posted.
Example: A timesheet dated for 4/25/2016, not posted
  • Regardless of the period dates or report date ranges, it won’t print because it is not posted
Example: A timesheet dated for 4/25/2016, posted on 4/26/2016
  • The amount will print on a report that includes this entry.
