Field value not available for report or screen filter

  • There may be occasions when you want to filter a report or screen in Practice CS by a field that isn't available in the list of fields you can filter. Some examples include:
    • Filter the Billing Analysis report (or most other billing, collection and production reports) for the clients assigned to a specific office or partner.
    • Filter the Manage Projects or Project Tasks screen for projects or tasks where the assigned staff possesses a specific skill set.
    • Filter the Time and Expense Journal for transactions for administrative activities (Activity class is Administrative).
  • You can create custom filters that let you extend the filtering options beyond those that are immediately apparent.
  • To filter a report or screen on a field that isn't available on the filter fields list for that report or screen, you might be able to create a custom filter based on a field that is available for filtering. 
  • For example: You would like to filter the Billing Analysis reports for billable time activities only. You see that you can filter the report by Activity ID or Activity Name, but not by any of the attributes of the activity such as the type or class. To extend the filtering to activity-related fields, you can create a custom filter.
Do the following to create the custom filter:
  1. Enter the attribute you want to filter by in
    Filter by
    , for example:
    Activity ID
  2. Enter
    is in the filter
    for
    Method
    .
  3. Right-click in the
    Filter
    field and select
    Add Activity Filter
    .
  4. Enter a name for
    Filter Name
    . We will call it
    Billable Time.
  5. Enter
    Type
    for the 1st
    Filter by
    item.
  6. Enter
    is
    in the
    Method
    field.
  7. Enter
    Time
    in the
    Selected
    field.
  8. Enter
    Class is Billable
    in the 2nd filter.
  9. In the
    Logic
    field, select
    Must match all criteria
    to indicate the activity must have a Type of Time and a Class of Billable.
  10. Select
    Enter
    to save the new filter, then select
    Done
    to close the screen.
The filter is now saved and available to any staff member that needs to filter a screen or report for billable time activities.
