Technical Services can help manage your Practice CS database in a variety of ways.

Database cleanup

Technical Services can clean up an existing Practice CS database containing client data that's no longer needed. This service lets your firm more easily go to Practice CS, shorten the length of certain reports, and remove data from a select set of clients. The most common data that's removed from clients in Practice CS are the following.
  • Receipts and adjustments
  • Service charges
  • Invoices
  • Time and expense entries
  • Projects
  • Other client related current and historic data
  • Clients

Database clean up service steps

  1. Schedule a database clean up:
    Contact your sales rep or submit a request for sales to contact you to request this service.
    • Sales will submit your request to Technical Services.
    • Technical Services will contact your firm within 3 business days to confirm the information submitted and get any additional details for the database cleanup.
    • Technical Services will prepare a contract to send to your Sales rep for your firm to approve.
  2. Back up your Practice CS data:
    Create and save a backup of the data before cleanup.
  3. Send your backup:
    Send a copy of your backup to Technical Services. We recommend you keep a copy of the database in case you ever need to look at the historic data. You can always restore it in the future as a secondary database in Practice CS.
  4. Retrieve and restore your updated database:
    When the import files are ready, your firm will receive the database via secure file transfer for you to restore.

Database split

Technical Services can split a Practice CS database into multiple databases. This is normally requested when 1 or more partners leave the firm to start a new one, and both want access to their specific client data within Practice CS.
Before you start this process, you'll want to consider the following:
  • Whether you want to retain historical data or use a new database.
  • If you want to include only select data for client demographics, open work-in-progress, and accounts receivable transactions.

Database split service steps

  1. Schedule a database split:
    Contact your sales rep or submit a request for sales to contact you to request this service.
    • Sales will submit your request to Technical Services.
    • Technical Services will contact your firm within 3 business days to confirm the information submitted and gather any additional details for the database split.
    • Technical Services will prepare a contract to send to your Sales rep for your firm to approve.
  2. Back up your Practice CS data for all firms:
    Each firm should create and save a backup of the data before the split.
  3. Each firm sends the backup:
    Each firm should send a copy of the backup to Technical Services. We recommend you keep a copy of the database in case you ever need to look at the historic data. You can always restore it in the future as a secondary database in Practice CS.
  4. Retrieve your updated database:
    After the split, we’ll deliver both databases to the primary firm specified in the contract. If you want to deliver the 2nd database to the new firm, please indicate that in your request to Technical Services. This step will require a signed statement to authorize the separate delivery.
