Timekeepers in license

In Practice CS, the number of active staff in each firm database is limited by the number of timekeepers your firm is licensed for.

How many timekeepers do I have?

  • To view the number of timekeepers you're licensed for, select
    Help
    ,
    About Practice CS
    , and then go to the Timekeepers column.
  • If the number of timekeepers isn't correct, select
    Download Licenses
    and follow the prompts. If the license installation completes successfully but the timekeeper number doesn't change, contact customer service at (800) 968-0600 to verify your licenses.
  • If you'd like to increase your timekeeper limit, contact your sales representative at (800) 968-8900.

What is a timekeeper?

A timekeeper is any staff with a status set to active. Inactive staff aren't considered timekeepers. The reason the term timekeeper is used is because active staff are able to enter time in Practice CS while inactive staff are not.

How do I know if I've reached my limit?

  • If you've reached your timekeeper limit, you won't be able to add new staff or change the status of staff members from inactive to active. If you're at your limit and you try to add a new staff, you'll get a message that you're attempting to exceed your timekeeper limit.
  • Once you reach your limit, you'll need to either set an existing staff person to inactive or purchase more timekeepers before you can add a new staff member.

Set staff to inactive

  1. Select
    Setup
    then
    Staff
    .
  2. Select the staff you want to inactivate and then select
    Edit
    .
  3. Go to the
    Status
    dropdown and choose
    Inactive
    .
  4. If you want the staff member to be able to access Practice CS, leave the
    Left
    field set to
    (none)
    . If you don't want the staff member to have access to Practice CS, enter a date in the
    Left
    field.
  5. Select
    Enter
    .

What are the effects of making staff inactive?

Making a staff person inactive doesn't remove data associated with that staff or lock you from accessing that data. Therefore, you can make a staff person inactive before you're finished processing the time they've entered.
  • Inactive staff can't enter time.
  • Inactive staff can access Practice CS with their staff ID, unless you enter a left date.
  • Inactive staff with a left date can't access Practice CS with their Staff ID.
