File transfer: Create NetClient or NetStaff Portals

File transfers in Practice CS use NetClient and/or NetStaff CS portals. If there's not an existing NetClient or NetStaff portal, you can add one via Practice CS using the
Add Portal
action.

NetClient CS Portals

  1. Go to
    Setup
    .
  2. Open
    Clients
    .
  3. In the Client View, highlight the client in the list.
  4. elect
    Edit
    .
  5. Go to the
    Contact Info
    tab and select the
    Actions
    dropdown.
  6. Select
    Add Portal
    and you'll see 3 options:
    • Help me find and use an existing portal
      : If there's possibly an existing NetClient CS portal for this client already, you should first attempt to find and assign that existing portal using this option.
    • Add a NetClient CS portal
      : "Standard" NetClient portals are considered permanent portals, and will remain until deleted by your NetFirm administrator on your firm's NetClient administration portal page.

      Even though the portal will remain permanently, all file transfers (and related file data) expire and are removed from the portals after 30 days.
    • Add a temporary Netclient CS portal
      : Temporary portals work exactly like standard portals. However, after 30 days, the portal will become inactive and will be deleted.

      If the portal is deleted, it will remove this client's sign-in information as well as all the file data contained on the portal. At any point before this event, you can promote a temporary portal to a standard portal by returning to the client setup screen and selecting from the
      Actions
      dropdown again. Select the option,
      Promote (portal ID) to full NetClient CS Portal
      . Because the sign in credentials are deleted on a temporary portal, if you want to later create another NetClient portal for this same contact, you can use the same sign-in information as was used originally.
  7. If you add a new portal, a registration email will be immediately sent to the email address on file for this contact. The registration email will provide a link that when selected prompts the portal user to create a sign in ID and password.
    note
    • The portal will display as "unregistered" on the contact screen and may not be used for file transfers until the registration process is completed. Once the registration process is completed by the portal user, the portal field will automatically be updated to display the proper sign-in ID. The screen update should happen within a few minutes.
    • If there's some reason that you can't wait for the portal information to refresh automatically, you can force a refresh by selecting the dropdown in the Portal field (on the
      SetupClients
      ,
      Clients
      ,
      Contaction Info
      tab). This will trigger Practice CS to immediately refresh the portal list and, if the contact has completed the registration process, you'll get the registered portal sign-in ID.
  8. After portals have been created and the registration is completed, clients can sign-in to their portal by going to http://netlinksolution.com in any web browser.
Other than adding new portals, all other portal administration (e.g., client password resets, adding additional NetClient portal features, portal deletions, etc) is performed on your firm's portal administration page outside of Practice CS.

NetStaff CS Portals

NetStaff CS portals are required for each staff that will be the originator (i.e., "From Staff") of a file transfer. They're used during the authentication part of the file transfer process in Practice CS. A staff doesn’t necessarily need to access their staff portal in order to successfully complete a file transfer or file transfer request. You can, however, optionally access the file transfer data via the NetStaff CS portals if you prefer.
If you want to add a NetStaff CS portal for a staff member through Practice CS, the steps and screens are exactly the same as described earlier for NetClient CS portals. The only difference is that portals added through the
Setup
in the
Staff
menu are permanent only. When you select to add a staff portal, there's no option to create a temporary portal like there is with a client portal. Review the earlier section for details on the process.
