Integrate with GoSystem Tax

GoSystem RS offers the ability to export XML files that can be used to populate Practice CS with clients' demographic information. This process can only be accomplished with the assistance of a GoSystem Support representative.
note
  • The Client Code in GoSystem RS becomes the Client ID in Practice CS.
  • The Corporation/Partnership name in GoSystem RS will be placed into the Sort, Name 1, Name 2, Individual First Name, and Individual Last Name fields in Practice CS.
  • Corporation names, such as Thomson Reuters, will be placed into the File as field on the Contact Info tab of Practice CS as "Reuters, Thomson".
  • If the Spouse Last Name is blank, the Spouse First Name will transfer into it if there is one.
  • FYE month and email addresses are fields that will populate.

A GoSystem Tax Support representative must create the XML files by the following steps.
  1. Open the GoSystem Tax RS Browser and sign in using your FTSupport sign in.
  2. Select
    Support
    ,
    Practice CS
    , then
    Export Data
    .
  3. First, select the firm from the Support Firm select box.
  4. Next, select the
    Account
    ,
    Year
    , and
    Type
    and then select
    Continue
    . (Note: You can only export 1 entity type at a time so you may need to repeat these steps several times to export all of the firm's clients.)
  5. Select the returns for which you want to export client information.
    important
    The Client Code is what will end up becoming the Client ID in Practice CS. Verify that each return has a unique Client Code. Any returns with a blank or duplicate Client Code won’t be populated as clients in Practice CS.
  6. Select
    Submit
    and then select
    Close
    on the Batch Queue pop-up window.
  7. Repeat Steps 2-6 for each entity type the client wants to export.
  8. Select
    Batch Status
    .
  9. The From date should be pre-filled for you so select
    Continue
    .
  10. Select on each Batch ID to verify that it's ready to download. The file will be ready when each return displays 'Print File Ready' under the Export Status column. (note: A password input field indicates a password is required. These returns are not included in the Download All button. To download a password-protected return when the 'Print File Ready' status is displayed, enter the password and select on the return's hyperlink.)
  11. Select
    Create XML
    .
  12. Select the
    Firm
    and select
    Continue
    .
  13. Verify the
    Account
    ,
    Year
    , and
    Type
    are correct and select
    Continue
    .
  14. Select
    Close
    .
  15. Under the Export to XML Status column, there's the word CSEXPORT1. If this word is a hyperlink, continue to step 16; If it's not, wait 1 minute and then select
    Refresh
    . Continue selecting
    Refresh
    every minute or so until the file CSEXPORT1 becomes a hyperlink.
  16. You can left-click CSEXPORT1 if you only want to view the file. To download it, right-click and select
    Save Target As
    to save the XML file. (Note: the default file name will be [username]_[letter representing entity type].xml)
  17. Repeat Steps 11-16 for each entity type.
  18. Once you've saved all of the files, you'll need to email them to the client. It's very important that you PASSWORD PROTECT the files before sending them to the client, as they contain social security numbers and other sensitive information. To password protect the files, follow these steps:
    1. Go to to the saved files and select the ones to be sent.
    2. Right-click on the selected files and select
      Send to / Compressed (zipped) folder
    3. Double select the ZIP file file that is created.
    4. Select
      File / Add a Password
      .
    5. Enter a password. (Note: a strong password should be used that needs to be at least 12 characters in length, contain random characters and not contain any names or words, contain at least 1 capital letter, contain at least 1 number, and contain at least one special character.)
    6. DO NOT INCLUDE THE PASSWORD IN THE email CONTAINING THE ZIP file.
  19. Have the client save the file you attached to the email and unzip the file using these steps:
    1. Double select on the .ZIP file.
    2. Select the .XML files.
    3. Right click and select
      Copy
      .
    4. Paste the files to the following location: (Where X represents the network location that they have Practice CS installed)
      X:\WinCSI\Practice CS Data\Data\Integration\SimpleClient
    5. Enter the password.
  20. Once the files are in this folder and Practice CS is opened, verify that the
    Integrate this firm with other solutions
    box is marked in the
    Preferences
    tab.
  21. Practice CS will begin to import the information. This can take several minutes. If the clients don't show up right away, close Practice CS and reopen it. Double check Step 20 again.
  22. If after several minutes the client information is still not available, transfer to a Practice CS support rep for further assistance.

Another option instead of emailing the client would be to use SharePoint FileShare to securely pass files to a firm.
