Send mass emails to clients
You can send bulk email to your Practice CS clients by creating a list of contacts to email, exporting that list to Microsoft Word, and using Microsoft's mail merge feature to create the message and send the email.
Requirements
For this process to work, you'll need to have:
- A mail merge format in Practice CS or access to the Practice CS Library portlet
- Access toPractice CS FilethenPrint Reports
- Microsoft Word
- Microsoft Excel
- A MAPI compliant email program like Microsoft Outlook
Instructions
Most of the steps are done in Microsoft Word. A full set of instructions on using mail merge is available on Microsoft's support site: Use mail merge to send bulk email messages.
Download the Excel Mail Merge
- In Practice CS, go toViewthenHome Dashboard.
- Go to thePractice CS Librarytab.
- SelectCustom Formats.
- Go to the list of reports to find an Excel Mail Merge report.
- Select the green arrow near the report to import it.
- SelectOKon the message that the file was successfully imported.
Create the list of clients to email
- In Practice CS, go toFilethenPrint Reports.
- Select theExcel Mail Merge format.
- Now you can filter the report for the clients you want to email. All the clients who are listed on the report will be the clients you email.
- Once the report is filtered, selectPrint Selected.
- ChooseOutput to Fileas the destination.
- ChooseMicrosoft Excel (.xls)as the format.
- Browse to a destination to save the file.
- SelectOK.
Create the mail merge in Microsoft Word
The Excel Mail Merge format that you just printed to .xls format is the list of clients that you'll use in Microsoft Word. The rest of the process takes place within Microsoft Word, so you need to follow the instructions on Microsoft's support site: Use mail merge to send bulk email messages.
