Change project recurrence and generation options

Use the
Recurrence
window to define recurrence rules and generation options for an individual project instead of using the project template settings.
Your firm must be licensed for the Project Management module to access these features from the
Manage Projects
screen.
You can use the
Recurrence
window to specify frequency, recurrence patterns, target dates, expiration dates, and generation options on a project-by-project basis.
  1. Open the project from the
    Manage Projects
    screen, and then open the
    Recurrence
    window.
  2. In the
    Recurrence
    section, select
    Use Specified Rule
    .
    If you select
    None
    , no due date options are available and you must manually generate the next project when the current project is complete.
    Select
    Use Project Template
    if you want to use the recurrence settings defined on the template instead of defining them for the current project.
  3. In the
    Frequency
    section, select a recurrence from the
    Pattern
    dropdown list, and then specify the due date using the available options.
    The due date options following
    Pattern
    change depending on the recurrence you select.
    If needed, mark
    Must occur on weekdays
    to move a due date that falls on a weekend to the following weekday. This option is available only when
    Due on day
    is selected.
  4. Specify the target dates for the project.
    1. To set the target start date, complete the
      month(s)
      and/or
      day(s)
      fields, and then select
      Before due date
      or
      After received date
      .
    2. To set the target completion date, complete the
      month(s)
      and/or
      day(s)
      fields, and then select
      After received date
      or
      Before due date
      .
  5. Set the recurrence expiration.
    1. Select
      No end date
      for an ongoing project.
    2. Select
      End after
      , and then enter the number of occurrences if you want to generate a limited number of projects.
    3. Select
      End by
      , and then select a date from the calendar if you want the recurrence to end on a specific date.
  6. In the
    Generation
    section, specify when future projects are generated.
    You can choose one of the following options:
    • When the current Schedule Item is complete
    • month(s) / day(s) before due
      , and then enter the number of months and/or days
    • When I manually create it
    • Generate all
    Generate all
    is unavailable when
    No end date
    is selected.
  7. Optional: In the
    Project Generation Options
    section, mark the checkboxes for the current project information that you want to use when generating the next project.
    Available options include:
    • Descriptions
    • Engagement
    • Grouping selections
    • Assigned selections
    • Calendar Entries
    • Notes
    • Links
    • Custom Fields values
    • Task information
    • Budget information
    Calendar Entries
    is available only when
    Assigned selections
    is selected.
    For
    Budget information
    , choose either
    Budget
    or
    Actual
    from the dropdown list.
  8. If you selected
    Budget information
    , enter budget adjustment factors as needed.
    Enter a value from 0 to 99 to represent the percentage increase or decrease for the next project. For example, enter
    1.1
    to increase hours by 10%, or
    0.9
    to decrease hours by 10%.
  9. Optional: In the
    Task Generation Options
    section, mark the checkboxes for the current project task information that you want to use when generating tasks for the next project.
    To make these options available, you must select
    Use Specified Rule
    at the top of the window.
    Available options include:
    • Task Information
    • Descriptions
    • Assigned Selections
    • Calendar Entries
    • Notes
    • Links
    • Custom Fields Values
The project uses the recurrence and generation options specified in the
Recurrence
window instead of relying only on the project template settings.
